Business Central License Recommendation for Multiple User Roles

Hello Community,


I am looking for guidance on Microsoft Dynamics 365 Business Central license recommendations for a client with the following user roles and access requirements:

1. Production + Accounts – 5 Users

•Full access to Business Central

•Includes 1 Super User responsible for:

•Managing permissions

•Assigning licenses

•Security role configuration

2. View-Only User – 1 User

•Read-only access to the complete system

•Ability to view transactions, reports, and overall activity

•No create, edit, or post permissions

3. Accounts (Including Sales) – 20 Users


Required access:

•View inventory activity

•Create and post accounting entries

•Sales transactions (orders, invoices, postings)

4. Production Users (No Accounting Access) – 20 Users


Required access:

•View inventory

•Production planning and execution

•Access to stock ledger

•No access to financial or accounting modules

5. Inventory Users – 7–8 Users


Required access:

•Inventory transactions only

•Entry of Delivered Challans

•Entry of Inward Challans

•No access to accounting or production planning

Question:

Based on the above role-wise requirements, which Business Central license types (Essentials, Premium, Team Members, etc.) would be best suited for each user group?


Any best practices or similar implementation experiences would be greatly appreciated.

    5 Business Central Premium licenses for Production + Accounts users.

    20 Business Central Premium licenses for Production-only users.

    20 Business Central Essentials licenses for Accounts and Sales users.

    7–8 Business Central Essentials licenses for Inventory users.

    1 Business Central Team Member license for the View-only user.

    You cannot mix license types (Premium vs. Essentials) within a single company.  If the company is "Premium" experience, which a Production oriented company would, all Users will require a Premium license to access.  
     
    53-54 Premium Licenses
    1 BC Team Member License
     
    Security Permissions controls what data the Users can access, not the License.

    Premium is only needed if you have a Service or Manufacturing Module else no need.
    Essential will work for others.
     
    Essential with Teams License OR Premium with Teams License will be the best choice for you.
