Mailbox syncronizationn creating folders "CrmOrgMailboxPrefix" in Outlook

Hi ,

We’re running into a strange issue with one specific user whose mailbox is synchronized with Dynamics 365. As soon as we enable server-side synchronization for this user, new folders "CrmOrgMailboxPrefix" begin to appear automatically in Outlook. These folders are created without any action from the user.

  • Outlook folders are being created automatically for one specific user
  • This only happens when the user’s mailbox is synced with Dynamics 365 (server-side sync).
  • The folder creation stops once we disable the mailbox sync
  • No manual action or rules on the Outlook side seem to be triggering this.

What we have tried so far:

  • Disabled the user’s mailbox sync in Dynamics 365 → folder creation stopped
  • Re-enabled mailbox sync → folder creation started again.
  • Confirmed the user has no Outlook rules that could be generating folders.
  • Checked Dynamics 365 tracking settings (no folder tracking) → nothing unusual.

Has anyone encountered this before or knows what might be causing it?

    Can you please check what folder tracking rule is set on user mailbox, that setting only can create folder like this , remove this and check.

    hmm this is interesting ,  Did you try to reset the sync state of mailbox  means  just set none for Synchronization Method , leave it for 15 min  , reset the sync method and test and enable the mailbox,  it should clear any sync cache.
    If this does not resolve problem then you might have to connect with exchange admin to check any delegated mailbox permission which are causing this.

    Yes, this is very interesting and something I have never encountered before..
     
    We have tried to reset the mailbox by turning of the synchronization (Set it to None). We then waited until the next day and then re-enabled it, but the folders then started to be automatically created again.
     
    There are no delegated mailbox permissions either.

    better create a support ticket for this, team can diagnose more about this as per your cofiguration , this is strange behavior when mailbox is configured only for one environment.
