Orders Approved by Sales Manager Role Not Syncing to FO

Hi Everyone,

I’m facing an issue in Dynamics 365 Sales Hub related to order approvals and integration with Dynamics 365 Finance & Operations.

Scenario:

  • All users have a common baseline security role.
  • Each user also has an individual role (e.g., Sales Manager, Head of Sales).
  • Orders are created from Accounts and, once approved, should sync to FO.

Problem:

  • When a user with the Sales Manager role approves an Order, the Order does not sync to FO.
  • If the same user is temporarily given the Head of Sales role, the Orders flow to FO successfully.

What I’ve checked so far:

  • On the Account entity, the Sales Manager role had limited Append To rights. I raised them from User level to Business Unit level, but the issue persisted.
  • On the Order entity, the Sales Manager role has Append + Append To = Business Unit, while the Head of Sales role has these at the Organization level.

Concern:

I don’t want to simply copy the Head of Sales permissions into the Sales Manager role, because these roles are meant to have different scopes.

  • Sales Managers should only approve/manage Orders within their BU.

  • Head of Sales can remain Org-wide.

Question:

Has anyone run into this before? What are the minimum privileges needed on Accounts and Orders (or possibly integration-related entities) to allow Sales Managers to approve team Orders and ensure they sync properly to FO?

Any guidance would be really helpful.
