Recently we faced an issue where we noticed emails were not entering our CRM. After an hour, all the emails were synced automatically into the queue. What are the possible solutions to prevent such behavior in future.
Anyone ever faced such similar issue, If yes, could you please share what caused this delay and are there any possible workaround to prevent this is future?
Delay in syncing emails from Outlook to CRM email queue [On-premise]
Yes,this is a fairly common scenario in Dynamics 365 when email synchronization is delayed. It usually isn’t data loss, but a delay in the server-side synchronization pipeline
Some customers set up a fallback queue (separate mailbox monitored by admins) to catch delayed or unsynced messages.
Others implement a monitor flow that checks Exchange directly for messages that haven’t yet reached Dynamics
Check Mailbox Configuration
Go to Settings → Email Configuration → Mailboxes.
Ensure all mailboxes are:
Approved by Admin
Test & Enable successful
Confirm "Server-Side Synchronization" is enabled for incoming/outgoing.
Monitor Synchronization Jobs
Navigate to Advanced Find → Email Server Profile → view related Synchronization Errors.
Review sync job history (check for retries or failures).
