Export Data in PowerBI

(2) ShareShare

In Power BI, I have table visuals that may contain over 50 rows with a scroll bar. Currently, we can export the displayed data into PDF or PPT formats. However, there is a requirement to export all the content from the table visuals into these documents. I cant fit the table content onto a single page. Is there a way to achieve this?

    Hello LK-01041441-0,

You've encountered a very common limitation when exporting Power BI table visuals to PDF or PPT: only the visible portion is exported, not the entire scrollable content. Unfortunately, Power BI's built-in export to PDF and PPT features don't natively support exporting the entire scrollable content of a table visual across multiple pages.

However, there are workarounds and alternative approaches you can consider:

    1. Export to CSV or Excel and Create a Report (Recommended):

    • Export to CSV or Excel:

      • Export the data from your table visual to a CSV or Excel file. This will capture all the rows, regardless of the scrollbar.

    • Create a Paginated Report (Power BI Report Builder):

      • Use Power BI Report Builder (a separate tool) to create a paginated report.
      • Connect the paginated report to the exported CSV or Excel file as a data source.
      • Design the report to display the data in a table format that spans multiple pages.
      • Paginated reports are designed for printing and exporting large datasets, ensuring all content is included.

    • Export from Paginated Report:

      • Export the paginated report to PDF or PPT.

    • Advantages:

      • Exports all data.
      • Provides control over page layout and formatting.
      • Suitable for large datasets.

    • Disadvantages:

      • Requires using Power BI Report Builder.
      • Involves an extra step of exporting to CSV/Excel.
      • Adds complexity to the reporting solution.

      •

    •

    2. Use a Custom Visual (Limited):

    • Custom Visuals:

      • Some custom visuals in the Power BI marketplace might offer enhanced export capabilities.
      • Explore visuals specifically designed for large tables or data grids.

    • Limitations:

      • Custom visual export functionality varies.
      • Not all custom visuals support exporting all data.
      • Reliability and support for custom visuals can vary.

    • Advantages:

      • Potentially offers a more integrated solution within Power BI.

    • Disadvantages:

      • Limited availability of suitable custom visuals.
      • Dependence on third-party developers.

      •

    •

    3. Power Automate (Complex Automation):

    • Power Automate:

      • You could create a Power Automate flow to automate the process of:

        • Exporting the data to CSV/Excel.
        • Generating a PDF or PPT document from the CSV/Excel data.
        • Emailing or saving the document.

    • Limitations:

      • Requires significant Power Automate development.
      • Can be complex to handle large datasets and formatting.
      • Still would most likely require the use of a 3rd party connector to create the PDF or PPT.

    • Advantages:

      • Automates the export process.
      • Provides flexibility for data manipulation.

    • Disadvantages:

      • High complexity.
      • High development time.

      •

    4. Visual Slicing and Multiple Exports (Manual Workaround):

    • Slicers:

      • Use slicers to filter the table visual into smaller chunks.
      • Export each chunk to PDF or PPT.

    • Combine Documents:

      • Manually combine the exported documents into a single PDF or PPT.

    • Limitations:

      • Very time-consuming and manual.
      • Not practical for large datasets.
      • Very prone to human error.

    • Advantages:

      • Simple to implement (no extra tools required).

    • Disadvantages:

      • Highly inefficient.

      •

    Recommendation:

    • Export to CSV/Excel and create a paginated report (Option 1) is the most reliable and recommended approach. It provides the best control over the export process and ensures that all data is included.

    •

By using Power BI Report Builder and paginated reports, you can effectively export your large table visuals to PDF or PPT, ensuring that all content is captured across multiple pages.

PowerBI is only going to export in those formats with what is visible. Your best bet would be to export the data in the table to excel and then work through excel to create a single wide page that includes all information.
