Limiting email visibility on account by user/team

Hi

Is it possible to have an account in CRM 2015 to which various users from different departments (eg. sales, procurement, senior management etc) will be sending emails, so there will be a lot of emails being tracked back to this account. The requirement is for emails to be kind of segregated so that CRM users will not get lost in a sea of emails that are irrelevant to them. Is it possible in any shape or form to have teams view a set of emails and another team view a separate set of emails (or a subset of common emails?). Has anyone felt the need to do this out there?

Any suggestions or opinions are greatly appreciated.

    Hi Moira,

    OOTB if you have access to see an Account you automatically get to see all activities associated with it.  This is achieved by having a 'Parental' 1:N relationship between and Account (in the Regarding field) and Activities.

    You can change the security so it's configurable cascading, and you can only see some (if you also restrict which activities some roles can see).

    I would NOT do this.

    There is sometimes real value in being able to see everything that is going on / the whole picture, and it is an unnecessary security restriction.

    I would also definitely NOT consider Access Teams for this sort of situation (they're for restricting access down to a specific record - not what you're wanting to do at all).

    You just don't want to drown in possibly unrelated items on a day-to-day basis... so that is what filters are for.

    What I would do is set up a filtered view as an additional sub-grid on the Account view.  'My activities' or 'My Team's activities' (or if you just want emails then 'My emails' or 'My Team's emails).  You can even have a single sub grid that allows the same sub-grid view to be toggled between a number of Views e.g. My activities, My team's activities, Open Activities, Closed Activities, All activities.

    Just go to the form view and add a sub grid for Activities (or Emails).  Select the default view and view(s) you want people to be able to toggle between.  Save the change and Publish your changes.

    You can do one thing in this case:

    create a custom attribute :flag on Email form.

    Enable field level sequrity on above attribute.(only cencern team/user can view)

    Before sending email the concern team/user update that above attribute.(you can also autoupdate this with help of js).

    You can create a differnt view based on above attribute.
