Dynamics 365 App for Outlook: System Synchronization filters

Hello.

I am using D365 Online and Exchange On-Premise.

My aim is to create Contacts in Dynamics 365 so that all these Contacts will be automatically synchronized with the Outlook(as in appear in Outlook Contacts list). So, I want to know how to set the filters that select specific Users to actually see these synchronized Contacts in Outlook.

I have seen that there are User filters in Dynamics 365, which is Manual. I want to know how to create System filters which will ensure that the Contacts will always be Synchronized to Outlook automatically, not manually.

For example, when importing thousands of Contacts into D365 Online, Every Contact has to be automatically synchronized into Outlook to specific Users, not to all Users will see the same synchonized Contacts in Outlook.

How can I make this happen?

Thanks in Advance!

    Hello.

My question for number on is that, I have created a Contact in D365, so I want to see this Contact in the list of Outlook Contacts, as shown in the picture below. If I create a Contact in D365 and synchronize it to D365 it is only showing up on the list of D365 Contacts in stead of showing up on the list of Outlook Contacts as shown below. How can I make this happen. Because it seems its only possible if I create the Contact in Outlook.

I want the Contact I created in CRM to show up on the list in the picture? How can I do that?

It seems that tool can only distribute synchronized fields instead of User filters. What I want as an Administrator is to create Custom User Filters, then distriute These custom User filters across the whole organization to all other Users, rather than just distribute the synchronized fields. Is this possile or Users will have to create their own User filters one by one manually?

    Hi,

Use the Sync Filter Manager which is part of the XrmToolBox app

I doubt its possible from OOTB, you will have to take SDK approach

  • RE: Dynamics 365 App for Outlook: System Synchronization filters

Now, how can I distribute the User filters in bulk? Because I do not want to Setup each and every User´s filters one by one since coding is not required for this specific Project using SDK. Is there a tool or some customizations I can do to make this happen?

    Hi,

For question 1, you can follow the settings given in first reply

for other 2 questions you can follow the URL's mentioned below

    www.microsoft.com/.../choose-the-records-to-synchronize-between-dynamics-365-and-outlook-or-exchange.aspx

For System filter you need to use SDK call, please refer

If you’re a system administrator, you can create or modify organization-wide filters (system filters) through the SDK (msdn.microsoft.com/.../gg309283.aspx)

  • RE: Dynamics 365 App for Outlook: System Synchronization filters

    Here are my questions:

    1. If I create a Contact in D365 Online, how do i "automatically" make it appear(synchronize)  in Outlook Contacts?

    2. If I create a Contact in D365 Online, how do I make it appear(synchronize) only to "specific" Users in their Outlook. I do not want all Users to be able to see all Contacts, just some I specify.

    3. How can I create filters that can make Contacts created in D365 synchronize automatically as soon as they are created(not manual). For example, when importing thousands of COntacts into D365 and I want to select whose Outlook gets synchronized with which Contacts

I hope its much clearer now

    Hi,

go to Settings -> Administration -> System Settings & go on Email Tab, here you need to enable server side sync for Appointments, Contacts & Tasks option

After this go to Synchronization tab and select appropriate options for each of the options like Appointments, Contacts & Tasks available

Hope it will help you get answer
