How to summarize multiple segment accounts??

(0) ShareShare

Posted on by

I'm new to Great Plains.

Our company has several segment ID's. One of which is the GL account codes. When I want to know the balance of a particular GL account I run a trial balance report - inserting a restriction for the dates I need and also inserting a restriction for the segment ID I'm researching (the specific GL account code). The report successfully shows me the balance of that GL account regardless of whatever department or product or project codes are attached to it.

My question is, how can I produce a report that does the exact same thing but for multiple GL account codes?

For example instead of just GL account 67000, I would like a report that shows me the balance of accounts 67000 through 70000. Then I would not have to waste time pulling up the balance of numerous GL accounts one by one.

Any help?

As Frank says Account Rollup Inquiry will be part of every install of GP 2010, but you do need the Account Rollups entry in Registration (Administration >> System) marked.

Management Reporter is a much bigger undertaking, but is the main financial reporting tool for Dynamics GP.

Daniel, GP 2010 definitely has Account Rollup Inquiry.   You should find it under Financial>>Inquiry>>Account Rollup.  If you don't see it, ask your GP Admin to check in the Registration window to ensure it's selected.    I use this often to create inquiries for non-consecutive groups of accounts.

In your case, I would go with Ian's suggestion, Management Reporter.

Let us know if you need any further assistance,

Thanks for the reply. I've read online about the Account Rollup Inquiry which seems like it would be helpful but I don't have that as an option... maybe my version of GP doens't support it...

I'll have to look into Management Reporter, haven't heard of that one.

RE: How to summarize multiple segment accounts??

Thanks for the reply Mahmoud. I've tried that and it does not give me what I'm looking for. Let me clarify.

For example, I'll enter in a range of 10000-50000. What I want to see is totals for GL account segment 10000, 20000, 30000, 40000 and 50000. All I want to see is the total debits and credits hitting those GL accounts, without the report being broken up by other segments.

Instead what the report shows me is a total for 10000-001 and another total for 10000-002 and another total for 10000-003, etc. Adding those up would give me the total debits and credits hitting the GL account 10000. I don't want to have to add those up manually.

    Make sense?

I want the report to show me a range for a specific segment ID without being broken up or subtotalled by the other segments such as department or product or project.

Your best bet would be either Management Reporter or, for a much simpler report, the Account Rollup Inquiry (Financial >> Inquiry).

    Hello Danielt

On the GL Trial Balance Report screen, you can change among several ranges which are date, account, and segments.

For your specific scenario, follow the steps below:

    • Choose the "Date" from the ranges
    • Fill in the period (From date, To date)
    • Click "Insert"

    Then,

    • Choose the "Segment" from the ranges
    • Choose the segment number (segment one, two or three etc... )
    • Fill in the required ranges for example (from 01 to 09)

You can add as many ranges as you want, see the screen shots below:
