CRM eMail tracking - picking up all emails - how to enable some security

Hi - we have just started CRM 2016 and enabled email tracking.  We are starting to see activities popping up that are more sensitive and need it to be selective.  I want to be able to track external email but omit internal email.  Is there a way to do this ASAP?

    Hi cmeredith,

The first thing to look at is your personal options to see what the email settings are. In the upper right hand side of your screen click the gear icon followed by Options

Then click on the Email tab

What is set here, if it is set to "All email messages" this means that all email will be tracked into CRM for that user. This can be set to be more granular.

    Hope this helps.

    Regards,
    Sean

That was an awesome and easy answer.  My next question as a follow on, is.....

Can you set it that active employee's cannot be contacts?

    Hi cmeredith,

I guess it depends, what are you trying to stop from happening? Are users creating these records on the sysem manually or are they being automatically created by the system from tracked email.

If the former, this can be controlled by Security Roles.

If the latter, you may have the option to create contacts automatically set, where it says "Automatically create records on Microsoft Dynamics CRM", in that case you may want to untick that box (that option can also be seen in the previous screenshot).

    Regards,

    Sean
