Create Custom Reports

Hi All,

I have to admit i am plenty green on Dynamics and my company is in the middle of a migration at the moment. I am not sure the best way to explain this but Im going to give it a shot

I am trying to determine the easiest way for the people in my finance department to create custom reports for GP.

Presently the way this is being done is in excel with a macro that does an ODBC connection to the dynamics database. I am thinking there has to be an easier way.

Is there an add-on or a method of using SRS that I can look at leveraging or some built-in functionality?

Ideally what would suit us well is something that would allow our finance people to say:

- Take this info
- Do some math
- Print it out
- Export to excel would be nice.

The issue for me right now, is that our consultants are creating all these reports but this means that every time we want a report we have to call them because they are the only ones that know where the data is in which obfuscated table. I want to do this in house. Do I have any options?

I was certain going through Dynamics documentations that there was a way to do custom reports. I just can't find the best way to do this. Any advice? Any good books?

Hi, your options are as follows:

    1. Standard GP Reports which you can modify in the Report Writer.(eithre for printing to printer, or make them xl 'friendly' - ie no headings etc).
    2. Crystal Reports
    3. Smartlists and Smartlist Builder with export to XL
    4. SQL Server Reporting Services with built in SSRS reports in GP10 which you can use to base new reports on / or create new ones from scratch.
    5. FRx Reporting
    6. XL Reporting
    7. Custom reports developed in .net / dexterity etc.

You real issue here is one of training. There is no reason why you can't get any report you need using SSRS. A capable  user with some training on set up can start to get SSRS reports out fairly quickly - with help from your external consultants when things get tricky. You also probably need some training on GP tables - even though with a small bit of research using the Resource Descriptions (Tools >> Resource Descriptions), you should be able to find the data you are looking for.

For my money, investing in SSRS training would give the best results. Once you know what reports you need, ask your external consultants what tables you should be looking at.

I would have to agree that SSRS and SQL are going to be the best bang for your buck.  As far as tables for your look ups, Victoria Yudin has a great reference

Generally, finance people want account-based reports, like financial statements, trial balances, etc.  If that's the case, then FRx is the tool to use.

On the other hand, if what they are looking for is more detailed revenue, expense, or profitabilty reports, say by product line, geographic location, etc, etc, then SSRS is a great tool for defining those.

That said, in addition to knowing what tables you want to pull the data from, you also need to know which columns to pull from and the column names in GP can be less than intuitive.  You're going to need to rely on your consultants until someone(s) in your organization have acquired the knowledge, through experience, to define their own reports. You might want to designate someone in the finance department as 'the report developer' because there's a lot to learn about GP table stucture and not everyone will have the inclination or time to learn it.

    Hope this helps,

Not all the tables in GP are intuitive or structured as you might reasonably expect...and sometimes you can tear your hair out trying to find that one field for an SSRS report / query. If you get stuck post again or PM me. Happy report writing!!
