Searching for a Sharepoint document via CRM

Hi Folks,

Is there a way to search for specific Sharepoint documents that were uploaded via the CRM Document Manager? I know a search can be done on Sharepoint, however I am wondering if a search can be done through the CRM? Can a view of these documents be created? If not, are there any workarounds?

In nay case, any input is appreciated. Thanks!

    Hi Mike

    I don't have access to my CRM/SP Instance at the moment but can you not advance find on "Document Library" to get see what has been added?

    Thanks Mark,

    The view you suggest yields the different entities that contains documents, but does not list the document names. I want to be able to search for any document in the CRM, using the CRM. There doesn't appear to be a way to filter for them in the advance search. I am wondering if this might be a limitation of MSD abilities?

    Hi Mike,

    Out of the box you cannot search SharePoint from CRM. 

    May you could embed the search functionality in a dashboards as an iframe or web resource

    Hi Mike,

    1) If your CRM and SharePoint is online then you can use Office365 for searching documents with document name.
    2) Else we doesn’t have any OOB functionality to search SharePoint Document in CRM however we can create webresource that will perform task of searching files from SharePoint, and can use the same on CRM.

    Hello all,

    We would also like to view SharePoint documents in Dynamics 365 related to a parent entity. We have D365 online and SharePoint server-based-integration to D365 opportunity (with possible hierarchy account-opportunity-document, if account folder is available). We have a custom entity as a parent for opportunities: Event (One event can have several opportunities for several accounts related to it). We would like to be able to list sharepoint-documents also at event level. However the advanced find is giving error, translated into something like this: 

    SharePoint Document entity does not support any other view besides the associated view in the related record form.

    Most of the users need to see documents on the opportunity level, but some user groups would like to view documents on the event level. Is there any easy workaround for this? We are thinking of powerapps-tablet app for these specialized user groups.

    Hi,

    One to achieve this is to use SharePoint Metadata. So create a metadata tag for the accountid in SharePoint.  When you add a document to SharePoint you need  to populate the tag with the related accountId.  Then create a url that searches by the accountId and add this to the account form.

    You can use a Power Automate Flow to update the metadata and you will probably need to use a javascript function to grab the accountid and open a the SharePoint url

    Hello Joe,

    Thank you for your answer. However I am still a bit confused. Instead of accountid I think you mean I should tag the document with the eventid and build folder url for searching the event?

    This brings me to my second question, how to populate the metadata by power automate? I built a flow to do this and I found all the related connectors, but the flow just won't trigger. We found that power automate is not supported for the sharepointdocument-entity, only sharepointlocation and sharepointsite:

    docs.microsoft.com/.../entitytypes

    I would appreciate further assistance, if you have time.
