Hard booking items not automatically removed (using WBS) resources appear to be at capacity

Wondering if anyone can help / advise... hoping i have this in the right section/area on this forum, fairly new :)

We currently have an instance of Finance & Supply Chain Management, of which we have employees setup as resources and resources are booked to Work Breakdown Structures in projects.

Issue: After hard booking a resource through the WBS items, after removing the booking/WBS item the "hard booking" does not get removed, resulting in a resource looking like its booked to a task / has no capacity to pick up other activities.

Here is a brief step by step overview of the issue:

After opening a project, viewing the summary details, there is a section called "Project team and scheduling". This is blank (as expected as i haven't assigned a resource.

I open up the "work breakdown structure" section and add 1 WBS line for a 1 hour activity, I then resource this via the resource feature, hard booking to the employee.

Upon returning back to the WBS item, it is now fully staffed and the employee is assigned. As expected.

I then navigate back to the project summary screen and to the "Project team and scheduling" section. This now shows that i have booked the employee for 1 hour and 1 hours are assigned to the employee. As expected.

I now decide I no longer want this staff member to carryout the activity, on the WBS line I remove the employee from the assignment. It shows them as not staffed and the staff member removed.

Returning back to the "Project team and scheduling" section, it now shows the employee as having no hours assigned, but still booked to the project for 1 hour.

This is not expected, the employees is not assigned to any tasks.

I then go back in and delete the WBS line completely, publish WBS and return to the "Project team and scheduling" section.

I see the same as before:

I expect the booked hours to go to 0.

If i navigate to the "Resource Availability" view, locate the user for the day where the booking was assigned previously, there is still a hard booking but no assignment. I would expect to see no booking.

So the question:

  • Is this something broken in the system?
  • Can you disable the hard booking feature but still have hard assignments?
  • Can the system remove hard bookings automatically when removing a booking from the WBS
  • Worse case, is there a batch job which can go through the bookings to remove any hard bookings which have no assignments?

Our current work around is for each WBS line, going in to the resource booking via the resource availability view and cancelling the hard booking and assignment, due to the volume of WBS items and the frequency of change this is somewhat a massive issue and in some cases is being overlooked when users are making changes to the WBS, resulting in resources looking over booked when in fact there is spare availability. We are then having to manually download all resource bookings to identify where there are hard bookings but no assignments, locating them in the resource availability screen and manually deleting the leftover hard bookings.

Would appreciate any input or advice as this is causing some significant headaches!

    Sadly we found no workaround. It’s apparently by design. We have since taken our resource management out of the system and now use another tool to do this.


    Big design flaw in my opinion. There should be the ability to enable or disable this functionality in my opinion.
