Owner of the record to view all activities, whereas others to view only their own activity in a contact

Posted on by 160

We are using Dynamics CRM 365 Online, V8.2 and having a requirement, where an owner of the contact should be able to view all activities linked to a contact, whereas other users should only view the activities owned by them in that contact.

For example, contact “David Smith” is owned by “Owner” team. There are some activities created by “Alpha” team, “Beta” team, “Gamma” team and “Owner” team for the contact "David Smith". The security is expected to work as below.

  1. “Owner” team should view all activities created by “Owner”, “Alpha”, “Beta” and “Gamma” teams, as “Owner” team is the owner of this contact
  2. “Alpha” team should view only activities created by “GIRO” team, as they are not owner of that contact
  3. “Beta” team should view only activities created by “CD” team, as they are not owner of that contact
  4. “Gamma” team should view only activities created by “Supervision” team, as they are not owner of that contact

Can you anyone advise the better way to handle this business case?

Thanks,

Regards,

Praveen.

Oh, the joy of  data based access restriction requirements.

One way to achieve this requirement would be to use appsource.microsoft.com/.../houdinisecurity.houdini-record-security which allows you to classify / categorise each record and restrict who can see it. It's our software and I'm happy to talk through the options and how you could use it to meet your requirements.

Other than that you will need to create a plugin that runs on retrieve and retrievemultiple which checks the ownership rules.

    Hi Ravi,

Thanks for your response. If I set user level permission, then point #1 won't work, correct?

    Regards,

    Praveen.

    Hi Praveen,

You can look for setting up user level permission on your security role for activities.

    Hope this helps.
