The new Dynamics 365 Team Member App usage limit

Hello Community,

With the roll out of the new Dynamics 365 Team Member Apps (i.e. Sales Team Member app and Customer Service Team Member app), I would like to get some further clarifications on the use of these new Team Member apps. Based on my understanding from the Dynamics 365 Licensing Guide, it says the Team Member app will only allow users to access up to max 15 entities.

Question 1: Does the limit on the 15 entities refer to custom entities only, or is the 15 the total of custom + system out of the box entities?

Question 2: Can we put more than 15 entities in the Team Member app, and use security role entity permissions to control which 15 entities user A can access vs. which 15 entities user B can access? Is this allowed? The scenario here is if we have 2 users (i.e. User A, User B), and what if they need to access different sets of 15 entities. How can this be done using the Team Member app?

I would appreciate further advice on my above questions if anyone has any insights.

    Hi Partner,

    1. The 15 additional entities includes both out-of-box and custom entities. 

    **Note: The Additional 15 entities are above and beyond what ships with the core Team Member App.

    2.  Team Members licenses provide access to write to up to 15 custom entities. These 15 custom entities may vary for each individual Team Members experience (IE Team Members for Sales vs. Team Members for Customer Service) at the discretion of the customer. However, they may not vary per user, each user will be accessing a specific Team Members experience.

    Thanks for sharing your insights, it's very useful, much appreciated.

    One follow-up question I have is: if the 15 custom entities limit is based on the Team Member app experience, and not based on per Team Member user experience, I am curious to hear your thoughts on how we could handle the situation where User A needs to access a different sets of 15 custom entities vs. User B. Say for example, out of the 15 custom entities, there are 10 of them that are common to what User A and User B need to access, but the other 5 are different between the two users. How would you handle that? If we put exactly the 15 custom entities that User A needs to access in the Team Member app, then User B is kind of stuck in the sense that the Team Member app doesn't contain the delta 5 custom entities that User B needs. So how do we satisfy User B's needs? Does this mean we won't be able to put User B on the Team Member license, and perhaps we have no choice but to assign the Enterprise/Professional license to User B?

    I have exactly this issue whereby User A needs a different set of entities to User B.  Individually this complies with the limitations, but I have no idea how to use the Sales Team Member App for both roles.

    Hi There,

    In this scenario, I believe we have no choice but to use the Sales Enterprise license for one of the users. So for example, User A can be assigned to the Team Member license, but we would need to assign the Enterprise license for User B.
