Creating multiple tasks in a lead view

I am a sales manager, who has reps that will need leads fed to them. I have created a customer lead view to display all open leads with no activity against them.

Each day i would like to create a task/phone call against say 100 leads to be assigned to that user, so they have a couple of weeks worth of activities to work through.

I cannot for the life of me work out how to create, in bulk, a new activity for all leads in my view (50 per page viewed for example).

- Creating a task within each lead is far too time consuming

- I can bulk assign the lead, but i don't want them being assigned a lead without a due activity

If anyone can shed any light on this with a decent breakdown I'd be very grateful, especially if it involves work flows - i cannot seem to get over this hurdle! Thankyou so much

RE: Creating multiple tasks in a lead view

    Hi,

    Thank you for your query.

    You can use following approach:

    • Go to Advanced Settings -> Processes.
    • Create a new Process with following configuration:
      • Type: Workflow
      • Entity: Lead
      • Uncheck Run this workflow in back-ground.

    • Uncheck Record is created under Start when section.
    • Check As on-demand process.

    • Add a step to create a Task record and set its properties as per your needs, also set the owner to Lead's owner.

    • Activate the process.

Now in open Advanced Find, select the view and leads for which you need to run this workflow (you can also select all records on current page).

Then click on Run Workflow button and select the created workflow and then click on Add.

This should create tasks for selected Lead records.

RE: Creating multiple tasks in a lead view

    Hi Wahaj,

Thankyou so much for this - i am running through it now and so far so good! Question for you - when creating this it's come up with a box suggesting use Microsoft Flow rather than Process workflows. It was my understanding that Microsoft Flow was for linking to external office apps. Is there a reason for Microsoft making this suggestion?

Will update and mark your answer once i've completed! Thankyou for such a detailed breakdown!

RE: Creating multiple tasks in a lead view

    Hi,

Sorry but I've hit a snag.

Do I need to assign the leads to the user before hand, so that the task is the same as the owner of the lead?

It also doesn't allow me to set a custom due date when using it - I'm trying to use the Phone call activity if that makes a difference?

Am i going to have to create separate process flows for every sales rep, and for every separate due date?

    Christy
