Error when trying to create collection letter in AX 2009

Hi all,

This is my first post here, so if I accidentally break any rules, then please let me know :)

I am trying to create a collection letter in AX 2009. We have not done it before in this company, but it works in other of our companies running on the same platform. I have made the setup so it it identical to that in the company where it works, but still I get an error message when trying to create a collection letter. The message is "The record has never been selected".

I have not been able to find out what the problem (and solution) is. Any suggestions?

Thanks,

Lene Dræby Kottal

    Hi Lene,

Is the mentioned error the only information you have? Usually there is some more information about which table this error is causing.

Can you verify if all settings like number sequence are defined?

    Hi André,

The full error message reads: "Cannot edit a record in Collection letter journal (CustCollectionLetterJour). The record has never been selected. Update has been cancelled."

I have checked that number sequences are define and set at continuous, both for the collection letter journal numbers and for the collection letter vouchers. I have set up a collection letter sequence and made the needed changes in the accounts receivable setup parameters.

Do I need to do anything else?

    Thanks,

    Hi André,

The error message is gone, after I changed the link between the tables under the selection criterias. Now no error message is displayed, but still no journal is made. I have checked that there are open overdue postings, so that is not the problem.

    Kind regards,

    Hi Lene,

Can you explain what you mean with "changed the link"? What exactly did you do?

You can try to disable the continuous option on the collection letter number sequence and see if this solves your problem.

    Hi André,

Under the selection criterias, the structure was wrong. I had "Tables -> Customers -> Open customer transactions" AND "-> Customers -> Customer transactions". I then changed it to "Tables -> Customers -> Open customer transactions -> Customer transactions" only. This change made the error message go away.

I tried to disable the continuous option, but that did not solve the problem.

    1. You have created a new setup via [AR - Setup - Interest and collection letter] and have set up all codes in the lines.

    2. You have linked this group to the posting profile via [AR - Setup -Posting Profiles]. Select the collection letter sequence per account code.

    3. On the posting profile, on the tab Table Restriction, you have ticked 'Collection Letter' (if not, transactions are not taken in account).

    4. Via AR - Periodic - Interest and Collection letter - Creation of collection letter. Click Select and reset any old queries. Select only one customer to check.

    5. In the same screen, select the parameters: Invoice, Credit not, Payment and Interest and set collection letter to All. Also fill a date and set posting profile to the correct profile (probably only one exists).

This should result in a collection letter, if not, have a developer look at the query.

If it is related to the query, you can try to reset usage data. Are you aware of possible customizations?

    Hi all,

    It works now :)

I can't say what did the trick, because I have tried with various settings.

    Thanks.

    Lene
