Able to edit general journal batch while it is out for approval (BC25)

Hi all,

I'm working in Business Central version 25 and using the standard workflow for general journal approvals. I've noticed that even when a general journal batch is sent for approval, it's still possible to edit individual lines within the batch.

Is this expected behavior in BC 25? Shouldn't the journal be locked from edits once it's out for approval to ensure data integrity?

I'd appreciate any insights into whether this is a setup issue on our end or intended functionality.

Thanks in advance!

Lisa

Good morning, afternoon, or evening depending on your location!

In Business Central version 25, the ability to edit individual lines within a general journal batch while it is out for approval appears to be an intended behavior, rather than a setup issue.

    Expected Behavior vs. Setup Issue
    • Standard Workflow Behavior: Business Central does not automatically lock individual journal lines when a batch is sent for approval. The approval process primarily controls the posting of the batch, not its modification.
    • Data Integrity Considerations: While the batch itself is pending approval, users may still be able to adjust line details unless additional restrictions are applied.
    • Possible Workarounds:
      • Implement custom workflow conditions to prevent edits once approval is requested.
      • Use security roles to restrict modifications during the approval process.
      • Explore custom extensions to enforce stricter edit restrictions.
    Next Steps
If you need stricter control over journal edits during approval, consider reviewing workflow settings or applying field-level security to prevent unintended changes.

    Hope this helps some!

It is actually expected behavior that the batch is locked for actions like posting. It does not automatically lock journal lines during approval. It only prevents posting until approval is granted.

    Yes, this is standard behavior.
This needs to be customized if you want full lock down.

    Thanks.

    Hello,

Its a Standard Behavior. If you want to Lock the same then you need to Customize the same.
