is it possible to implement a password to do 'returns'? I know I can restrict by document access, but 'defaultuser' has access to all documents and it overrides any other settings.

you could create a different profile in addition to 'defaultuser' - configure security differently for this profile and assign it to the users, you wish to restrict access for.
