Entering Opening General Ledger Balances

Posted on by 225

We added and started using a new company in Dynamics GP on 01/01/2014.  2014 was the only fiscal year created at the time the company was set up.  Transactions have been posted to this company over the last several months.  We now need to enter beginning of the year balance sheet amounts.  We created 2013 fiscal periods hoping to enter the 12/31/2013 balances.  However when we try to enter journal entries date 12/31/2013 the follow error message appears:

“You cannot enter transactions for a date that isn’t within a fiscal year.”

Any ideas on how to open up 2013 for posting?

RE: Entering Opening General Ledger Balances

I recall having to do this for clients, and just went in to see if there is a TK on this and just found it:

To re-create fiscal periods, follow these steps.

Note You cannot change fiscal periods if they are historical. 1.Print the fiscal period report. You will need this detail later to setup the same fiscal periods again. To do this, follow these steps:•Click Reports, point to Company, and then click Setup.

•In the Reports list, click Fiscal Periods.

•Click New to create a new report option.

•In the Company Setup Report Options window, enter a name (of your choice) for the report in the Option field.

    •Click Print. Click OK.

•To determine which years are historical, go to Tools under Microsoft Dynamics GP, point to Setup, point to Company, and click Fiscal Periods. Select each Year and note if the Historical Year checkbox is marked. If the Historical Year checkbox is unmarked, the year has not been closed.

2.Run the following statement against the company database. (only after you have done a backup)

    delete SY40100

    delete SY40101

3.Follow the appropriate step:◦In Microsoft Dynamics GP 10.0, point to Tools on the Microsoft Dynamics GP menu, point to Setup, point to Company, and then click Fiscal Periods.

◦In Microsoft Dynamics GP 9.0 and in earlier versions, point to Setup on the Tools menu, point to Company, and then click Fiscal Periods.

4.Set up each fiscal period to match the fiscal periods in the report that you printed in step 1. To do this, follow these steps: •In the Year list, click a year.

•In the First Day field, type a first day for the fiscal period.

•In the Last Day field, type a last day for the fiscal period.

•In the Number of Periods field, type the number of periods for the fiscal year.

•Make sure that you click to select the Historical Year check box if it was a historical year in the report that you printed in step 1.

    •Click Calculate.

•Repeat step 4a through step 4f for each year in the report.

5.After you set up all the fiscal periods, click OK.

6.Follow the appropriate step:◦In Microsoft Dynamics GP 10.0, point to Tools on the Microsoft Dynamics GP menu, point to Utilities, point to Financial, and then click Reconcile.

◦In Microsoft Dynamics GP 9.0 and in earlier versions, point to Utilities on the Tools menu, point to Financial, and then click Reconcile.

7.Click to select the Year check box.

8.If you have historical years in the fiscal periods, click History. Start with the oldest history year first. For example, if the historical years are 2004, 2005, and 2006, start with 2004. If you have no historical years, start with the oldest open year.

9.Click Reconcile. Microsoft Dynamics GP now processes all general ledger accounts and reconciles the account summary information to the account detail.

10.Repeat step 6 through step 9 until you have processed all historical years and open years in the correct order.

    Thanks for you suggestions Frank.

Neither the Reconciling or Check Links resolved the problem.  I did notice that the GL Year-End Closing window shows 2014 as the year to be closed while the GL40000 tables shows the last closed date (LSTCLSDT) as 1900-01-01.  No year has ever been closed with this company.

Wonder where the GL Year-End Closing Window gets 2014 as the year to close?

Try running the Reconcile utility on your Period Setup tables.  If that doesn't help, run Check Links on Period Setup as well.  Hopefully one or both will resolve the issue.
