Cancelling activities and workflows when an opportunity is closed (won/lost) or deleted.

Hi all,

CRM doesn't seem to close activities/workflows related to an opportunity when it's closed/deleted. Activities are still open, and workflows are in "waiting" status. I would think CRM would take care of those open tasks. Is there an easier way to cancel those automatically? I researched a bit. I could do this via "custom workflow actiivty" or "plug-in", etc... I was wondering if there are other ways.

    I can think of one way...place a drop down menu called Status on the Opportunity record and all other activities. Create a field mapping for the relationships and once the Status of the Opportunity changes fire up a workflow that changes the field for the Opportunity. The change will propagate down to the related records and another workflow could deactivate any records whose "Status" equals "Opportunity Closed" or something along those lines.

    You could also add a "Check Condition" statement to the workflow related to the activities that checks the Status of the Related Opportunity. If the Status doesn't equal Open then End Workflow.

    There is no other way of doing what you request. Custom workflow or a plugin is the only 2 ways to go.

    Creating the field mapping will not fire on children onchange. They only work on create.

    It depends on the "Cascading" of the relationship.

    Have you ever Assigned an Account from one owner to another? See what happens to the owner of any Cases or Service Activities related to that Account.

    They all change too because of the cascading effect of the relationship.

    Gus. On update you cant use mapping for inherit datafields to child entities. Mappings only works onCreate.

    The assign functionality you refer to, has nothing to do with mapping. It is a specific setting on the relationship.

    Otherwise the inheritance of for example address data from account to contact on changes would not have problem through the past 5 years in crm 4 and 2011.
