Subjects Guidance, or Best Practices

Posted on by Microsoft Employee

We are working through a migration into Dynamics CRM 2011 and are prototyping the solution in an on premise trial version. As we are working through our product catalog we have come upon the Subjects in CRM. We understand what the subjects are how to import and maintain the trees and the rest of the basic functionality...  However, there is always this caveat / tip associated with Subjects:

Tip

Carefully consider setting up the Subject Tree for your products. Although an association is not required, Subjects let you effectively categorize products for searching and reporting. When setting up the Subject Tree for Products, the Subjects will usually be at a more general level than the actual product. For example, a Subject might be Computers, and actual products associated might be Laptop, Desktop, and Handheld.

Creating the tree has management stymied. Developing a corporate taxonomy is an unfamiliar experience and attempts lead to disagreements and frustration to the point where the opinion is to not use it all.

I am obviously worried about the impact this will have down the road, and the answer of "well we can't effectively link our knowledge base articles, sales literature, etc. effectively to our products because we don't have a subject tree" will not fly.

I've looked here and through major search engines, but have come up empty. I would like to be able to demonstrate some sample subject trees and compare and contrast a couple of different styles to provide some context for our management team. Can anyone point me to some guidance or best practices on building the taxonomy with some sample trees to help get this discussion back on track? We are a software company but can most likely work with examples from any industry.

I did find this blog post (blogs.c5insight.com/.../Sample-Subject-Trees-for-Microsoft-CRM.aspx)

which referenced this page: www.microsoft.com/.../subjecttrees_old.mspx

Unfortunately the post is over 5 years old and the linked page apparently no longer exists, but maybe some one knows where the current page is?

RE: Subjects Guidance, or Best Practices

Thanks Jerry,  We have not engaged a CRM Partner yet as we are still trying to define scope and identify gaps and requirements to ensure this is the product we want to move forward. I was hoping there would be some community resources available. Our current CRM doesn't have this information either and it makes Knowledge Base article management difficult and the subjects presence on products, cases articles etc tends to keep it in front of the management team so I get questions on it.

If you are working with a CRM Partner they can get a Demo Builder site setup for you and within that system it is possible as I recall to see different subject tree examples.
