1) Issue
In Dynamics 365 Finance (Asset Management module), the cost (amount) for hours in the Work Order journal is not displaying correctly or is missing.
The requirement is to ensure that the correct cost value is calculated and reflected when posting hour transactions in Work Order journals.
2) Reason
The Work Order journal in Asset Management relies on the Project Accounting framework for cost calculation.
The amount shown for hour transactions is derived from:
- Project category cost price
- Resource configuration
- Project and work order setup
If any of these configurations are incomplete or inconsistent, the system cannot calculate the correct cost.
Typical root causes:
A) Missing or incorrect resource setup
- Only resources linked to Human Resource type are considered
- Missing or incorrect resource assignments result in missing cost values
B) Missing cost price setup
- Cost is derived from:
~ Project Management and Accounting > Cost price
- If no cost price exists for:
- Category
- Resource
- Legal entity
→ The system cannot calculate the amount
C) Project category linkage
- Work order journals use:
- Project categories mapped via project setup
- If category is missing or misconfigured:
→ No cost is calculated
D) Work order project configuration
- Asset Management uses a project integration model
- Work order jobs post to:
- A project defined in:
~ Asset Management > Setup > Work orders > Project setup
- Incorrect setup leads to:
- Missing category/resource mappings
- Incorrect cost derivation
E) UI refresh limitation (known behavior)
- Amount fields may not update automatically when:
- Hours are entered or modified
- The system recalculates cost only when:
- Another field is changed (resource, category, line property, etc.)
3) Resolution
Step 1: Validate resource setup
- Navigate to:
~ Organization Administration > Resources
- Ensure:
- Resource exists
- Resource type = Human Resource
- Resource is linked to worker
Step 2: Configure cost prices
- Navigate to:
~ Project Management and Accounting > Setup > Prices > Cost price
- Define:
- Cost per hour
- By:
- Category
- Resource (if applicable)
- Legal entity
Step 3: Verify project category
- Ensure:
- Category is assigned in Work Order journal line
- Category has cost price defined
Step 4: Validate project setup for work orders
- Navigate to:
~ Asset Management > Setup > Work orders > Project setup
- Verify:
- Project ID
- Activity number
- Category mappings
Step 5: Check resource price setup (optional but recommended)
- Navigate to:
~ Project Management and Accounting > Project resources > Resource list
- Confirm:
- Resource is included
- Price setup is correct
Step 6: Trigger recalculation
- After entering hours:
- Modify another field (e.g., category or resource)
- Or reselect the same value
This forces the system to recalculate the cost amount
Optional: Validate parameters
- Navigate to:
~ Project Management and Accounting > Parameters
- Confirm:
- Hour journal setup
- Cost price usage settings
