Account Format

GP10SP5. When setting up the account format, let’s say I set it to 60 with 6 segments.  So that would be 6 segments of 10 char. each.  But I do not want to use all the segments or even the length at this time.  Let’s say I only want to use 2 segments of 5 each.  Is that possible?  The account format screen fills out with all 6 segments and it doesn’t look like I can delete any.  And I don’t want empty segments showing up in my chart of account.  Must my account format match what I plan to use at the time of setup? Thanks.

    In the Account Format Setup window, you will see the maximums displayed when you first enter the window.

    For your example, you will need to enter 10 in the Account Length field and 2 in the Segments field - then the display of segments in the scrolling section will change accordingly.

    You can have different account setting within each Dynamics company if you wish - but they must be within the maximums of the account framework you installed in the first place.

    Also keep in mind when you are considering expanding your account that the new bits will be blank. For instance, if your segment is 5 and you later change it to 6, all of your existing accounts will have a blank space for in the 6th character.

    Now you'll be able to change the account number using the PSTL tools, but that  process itself could be a problem if you have any 3rd party products that are not supported by PSTL. Also, if you have any SSRS reports, etc. or anything else that references the account number, you'll need to make sure they will return the expected result.

    In your case, I would suggest setting up only 2 segments with more than 5 digits per each, lets say 8, and a maximum of 10, in order to keep your chart away from having empty digits when expanding the segmen

    In this essence, you will be required an account of 16 digits when opening a new account as follows;

    12345000-99999000

    It means you will have zero digits after the required 5 digits in each segment

    As for the other six segments, you can add them anytime later on.

    Another suggestion would be building a ccomplete design of chart of account that is expandable, consistent and mostly sufficient before the setup in order to stay away from having empty digits or segments later on when expanding

    Are you talking about installing GP and launching GP Utilities for the first time? If so, it is a good idea to set those values to more than you need so you can grow in the future. Then when you go to Tools->Setup->Company->Account Format set the number of segments and their sizes to just what you currently need. As Leslie said, laster you can use the PSTL to fill in blank segments as the are needed.
