how to change the customer balance type , balance forward to Open type. Giving error message.

when i am changing balance type balance forward to open type showing error as there are unposted , historical and open transaction so you can not change the customer type.

any way i need to change the customer type how should i do, my transactions should not be deleted .

please suggest.

    Hi Rudra,

    Follow these steps to change your customer from Balance Forward to Open Item.

    NOTE: This will also work if you want to go from Open Item to Balance Forward. When you have completed the steps, you will no longer be able to apply transactions.

    1. Make a backup.

    2. Get the balance down to zero for the customers you want to change. This is important because if you leave a balance, a BBF document will be created and you will not be able to apply anything to the transaction.

    3. Move or Rename the following files from the Sales folder:

    RM10101.* (RM Distribution Work)

    RM10201.* (RM Cash Receipts Work)

    RM10301.* (RM Sales Work)

    RM20101.* (RM Open File)

    RM30101.* (RM History File)

    RM00401.* (RM Key File)

    RM30301.* (RM History File)

    If transactions exist in Sales Order Processing, move or rename the: SOP10100.*, SOP10200.*, SOP30200.*, SOP30300.*

    If transactions exist in Invoicing, move or rename the: IVC10100.*, IVC10101.*, IVC30101.*, IVC30102.*

    Warning: If you cannot successfully re-create your RM Keys, do not continue working in the system because future documents may become corrupted. If your RM Keys do not re-create successfully, you will receive an error message (the message text may vary) and you will not receive an error log.

    4. Make the changes to the Customer Type in the Customer Maintenance Options window ( Cards - Sales - Customer/Options).

    5. Move or rename the files back.

    6. Perform Check links on the Receivables Open Transaction and Receivables History files.  (Microsoft Dynamics GP menu - Maintenance - Check Links)

    7. A new BBF document of $0 will have been created in the open file for these customers. To move this out, you will need to run Paid Transaction Removal ( Routines - Sales - Paid Transaction Removal).

    Thanks for your answer.

    can i make a backend change(through sql query) by update to opentype from BBF.

    will it effect anywhere in the application or for existed transactions.

    i have tested for one customer with same by backend in my test environment, there were no customer unbalance and everything is good.

    if i change from backend what are the mismatches i will found, and what is wrong.

    please suggest me.

    Rudra,

    I would not recommend changing these in SQL, as you will not be able to guarantee data integrity.  Also, you need to make sure all the customers affected have a $0 balance and you will need to verify that all the tables in my previous post are correct.

    Altering data that exists in more than one table is always a risky proposition.

    Hi Jeff,

    as per your conversation, you are asking to change or move perticular customer in the given tables which you specified, and then move to the same transactions after changing the customertype change to the same tables..

    as my concern is i have only one customer need to change and that is also only 5 transactions they are in open state. if i change like this my accounts will update correctly or not???

    and you are saying that balance to be made as 0, but this is a bit difficult process.

    for only one customer can't i change from database side... please suggest me if i do this where i should eye on,, and where should be most carefulll...
