Dynamics GP 2013 R2 Workflow - Sending alerts to Gmail or other Email accounts

Posted on by 545

Hey Everyone,

I was wondering if this is possible some how. We have a customer that uses a domain for their employees so they can use workflow but they use Google business apps for their email. Is it possible to put in the gmail address on the domain user account so they can receive notifications for Purchase Orders? Or does it only work with Exchange? We have already set up the smtp server and tested that it can send out the alerts but we need the alerts to go to the right place.

I originally had this configured to use port 587 and marked the checkbox for "This is server requires a secure connection (SSL)". I also previously created a brand new Google account so I could configure it to allow "less secure apps". These were the configurations as per one of Ian's previous online posts.

What I've done in this last little bit, is to configure it as per Peter's earlier instructions (port 465 and unmark the checkbox for SSL).

I've also just reverted back to the original configuration, and the test email is now sending.

It seems I'm good for now. Thanks for your help Ian and Peter.

    Hello Ken,

I have just switched to port 587 and ticked "This is server requires a secure connection (SSL)", as Ian suggested, and the test email sends fine.

Kindly confirm that you have the correct gmail credentials of the sending account. As Ian suggested, confirm the "less secure" apps setting for the gmail account you are using to send the (test) email. I have noticed that if the gmail account has "2 step verification" enabled, then the setting for "less secure apps" may require a password.

Do emails send from any other SMTP? If you haven't tried, sign up for Outlook with a free account and try it using that.

Additionally, the gmail account I'm attempting to use, is also associated to the AD Account I'm logged in under. Is there something else I should be looking at?

Thanks Ian. That was how I originally had it configured. Unfortunately, the test email doesn't send.

Try port 587 and mark This server requires a secure connection (SSL).

You will also have to launch your web browser and navigate to the Less secure apps page (myaccount.google.com/lesssecureapps) and change the toggle to On.

Thanks Peter. I've configured the workflow setup as per your instructions (including port 465). Still doesn't work.

    Hello Ken,

Under System >> Workflow Setup, set the smtp as follows using a valid google/gmail account and credentials - and confirm if it gets to work.

I also have a Customer that is asking me to assist them in getting workflow enabled with gmail.

I purchased Ian Grieve's book for Workflow 2.0, but am still struggling to find specific instructions for the correct configuration.

Sorry for the delay. I've been onsite with clients.

The email is sent using the email settings in Workflow Setup.

The recipient is, as you say, determined by the settings in the Active Directory account.

My latest book covers the Workflow 2.0 setup and usage if you want a more detailed explanation (not that I won't expand further here if required).
