Sending e-mail invoices from a general shared e-mail address

Hi,

We are using the Saas which i itegrated fully with our outlook accounts.

At our company the warehouse guys are supposed to Post&Send-ing the invoices when shipment done. The e-mail should go from a shared e-mail.

In order to perform this  we should provide acces to these guys for the shared e-mail in Azure what or director do not want. These guys are also using Outloook and - if they want they can pull in the shared e-mail box easily to their own outlook and they can see too many e-mails :)

Is there a way to set up the system in order to meet with this request?

eg: is there a setup where we can add an an account which is used allways for e-mailing invoices regardless of who sends it?

Thanks for your answer

ANdras

    Hi

In new email setup you have 3 options 1) current email 2) shared mailbox 3) smtp email. Then you can assign scenario to each email.

    My recommendation is

    1) Add the email you want as SMTP email to BC. This way your warehouse team does not need to be part of shared mailbox.

    2) Assign invoice scenario to this email (see below for more details).

    3) This way all invoice will send from this email without sharing it with your warehouse team.

Just to provide some warning here.  When using the Shared Mailboxes as described above, the sent email resides in the User's sent folder, not in the Shared Mailbox sent folder.  This isn't a big deal, as you can see what has been sent using BC, but something to be aware of.  Microsoft has provided a workaround to copy sent emails over to the Shared Mailbox, but we haven't found that to be necessary.

In either case, the User does need to have some from of delegated access to the Shared Mailbox to be able to send the emails "From" that account.

    Hi,

Please do setup a Shared Email to perform above as below.

Email Accounts>>New>>Use Microsoft 365 shared mailboxes
