Disappearing G/L reversal entry

Someone brought to my attention a reversing journal entry that was posted at the end of 2007, but the reversal was never posted. The General Posting Journal report printed at the time the entry was originally posted shows the regular & reversing account entries, so it appeared to be OK at the time it was posted.

However, we can't find any trace of the reversing entries in the G/L.

The only odd thing I can see about the entry is that the reversing date was set to be a date in the past - I was wondering if that could have caused a problem.

For example:

Original entry's Transaction Date: 12/31/07

Reversing Date: 1/1/08

Date the entry was posted: 1/30/08

The original entry's transactions (i.e., those starting with GLTRX....) appear in the GL30000 table, but the corresponding reversing entries (those starting with GLREV....) are nowhere to be found - either in the GL30000, GL20000, or GL10000 tables.

Anyone ever see this happen? Any idea why it might have occurred?

If its any consolation - we ran into the exact same issue - although one difference - we do see the GLREV items in the GL30000 table (were you searching by JE # ?).

I think there may be a logic flaw in GP but it may be due to the scenario which is convoluted.

In May '11 a reversing entry is posted to an historical year June '10 at year end with a reversing date of April '11 (new fiscal year but 'in the past').

So it posts and the system has to do 2 more entries immediately (all with the same JE#) - reverse the entry in the next year - and - clear the amounts out to retained earnings.  Do you think GP ever tested for this?

In hindsight - I would suggest not doing a reversing entry for these.  Or - if you do make it reversing  - don't make the reversing date in the past.  Something to test I guess.

I'm afraid this is going to be one of those great unexplainable mysteries in life....it's hard to trace exactly what happened that far in the past. The good news is that the ending balances for the accounts are all correct, so our financial statements are OK.

Thanks for taking the time to think about it.

If Trx History was not being maintained, then you would have all of the correct entries in the GL20000 (GLREV and GLTHS), but in the GL30000 you would not have the GLTHS. It doesn't sound like this is your situation since the GLREV transactions are missing.

Was 2007 closed when the reversing entry was posted? I just noticed you had GLTRX entries in the GL30000. Did 2007 close between the time the reversing entry was saved and when it was posted?

Well, I can't say for sure what the status of the checkboxes were at the time the entry was made, but I would think if the detail for the original entry was saved then the reversing detail would be, too, because aren't both the original & reversing entries posted by the system at the same time?

What was the status of the 'Maintain History' checkboxes in GL setup at the time the original entry was posted?

    Kind regards,
