Filing W2 Form Electronically

Is it possible to file W2s electronically if we only produce 35-40 forms?  From what I read, it seems it has to be at least 50 forms.  Also, under reports W-2 forms (Copy A), can we print this out to file with Social Security Administration.  Wasn't sure if the Copy A on Microsoft Dynamics SL meet the IRS specifications.  Thank you!

    I am not sure where you are seeing that you need to have at least 50 W2s to file electronically.  I believe that anyone can file electronically in place of paper filing.

    While Copy A contains the complete form image you cannot use that to file paper forms unless you have a printer that can print the form using the special red ink (a color that is not picked up while scanning a paper form).  Even if you have a color laser or inkjet, the red is not the correct red.

    The special Red Ink that Rick Kerns refers to is called Flint red OCR dropout ink.  The SSA does allow Black and White A copies but only when the form has been pre-approved by the Social Security Administration and assigned a vendor code which Microsoft has not done.     Rick is correct, you can file less that 50 W2's with SSA.  Just make sure that all employees have the W-2 Electronic Reporting Checkbox on the employee screen checked before you create the file.  Unchecked employees will be excluded from the file.  

    To determine if any employees have this box unchecked, go to the employee report on the Dynamics SL menu. From the report tab, change the format to summary. Then go to the select tab. In the field do a lookup (F3 or double right click) and select employee.magw2. In the operator select equal and in the value enter 0.  This will produce a list of anyone who has this box unchecked.  If you find any who will receive a W-2 in 2014, go to employee maintenance and check the box before creating the electronic file.

    The SSA site for uploading is straight forward and surprisingly easy top use.

    I must have misread the 50 forms when I was reviewing the SSA business services online website.  For some reason, I thought I wasn't able to upload less than 50 W2s with SSA. Thank you for your help!

    When releasing an AP batch, I get the following error: SQL Server Message 93

    Once checks print out and after processing, I get the following error 'SQL Server Message 67'

    Optional info: SqlState = 25000 Native Error = 0 ErrorMsg = [Microsoft][SQL Server Native Client 11.0] Invalid transaction state pcbErrorMsg = 67

    Anyone know what's causing these errors?

    The error 93 message is usually due to SQL syntax of triggers that FRx has placed on SL tables to keep its index table updated. If you can sign into and search Customersource for the download file B2551470_FRx_SL2011_93Fix.zip, that file download contains a modified SQL  script to run against your application databases to fix this problem.
