Sharing OLE files between users?

Posted on by 70

When editing a sales transaction, we use the Notes page of the Document Number field to keep track of what's happening with that particular entry.  We've recently stumbled across the OLE attachments that can be added to a notes page.  Today, however, we realized that while the sales transaction can be accessed by any user, and the Document Number -> Notes page will show up the same for any user, the OLE manager appears to be user-specific.  That is, one person can attach relevent .pdf files, but when I open the attachments on the note, nothing shows up.

Does anyone know if there's a way to access those files from a different user account than the one they were created on?

    One additional folder attribute is to have an OLENotes folder under the company folder.  Thanks again to David for his outstanding knowledge and documentation of GP.

    This is a setting you manage in the dex.ini file which is in the GP\Data folder.  You edit the ini file on each workstation to point to a shared directory and then everyone will share the attached files.

    OLEPath=\\<server share>\Notes\

    The path needs to exist (including the Notes folder) and then you need to create a sub folder under the Notes folder for each company you want to have shared notes, this needs to be the SQL DB name.  If your production company has a SQL name of CORP you will need to create a CORP folder unter the Notes folder on the share.

    Here is a link to an excellent 'how to' on this from David Musgrave.
