Tracking Option in Inventory

I have an item number in inventory that needs to have the Tracking Option changed from None to Serial Number. The item does not have any quantity on hand, on order, or on backorder, but the Tracking Option field is still greyed out. I've done this for other items and have successfully changed the Tracking option from None to Serial numbers as long as there aren't quantities outstanding. Any ideas why this item wouldn't allow it? Or suggestions on how to research this in SQL?

    Sharon,

With all users out of the system, I would try to run the SOP, POP, and Inventory Reconciles to see if there is something stuck somewhere.  You could also try to run check links on the inventory tables to see if that helps clear things up, though I don't thinkt that will help as much as the reconciles.

Another thing you might want to check is if you can change that option if history is kept for the item.  It might need to be removed first.

    Regards,

    Aaron

You can do this via the back end in SQL.  Since you have no quantity on hand and none on order or allocated in SOP, then you should not have a problem.   I don't have an install available, but I believe None is a 1 in the tables with 2 denoting S/N and 3 Lot tracked.   Double check this but it is a simple update statement against the Item Master (IV00101).

Once there is activity on the item, the tracking option is no longer accessible. So you have two choices:

    1) Remove all sales and purchase order and item open and historical transactions for this item

    2) Using SQL change the tracking option

If this item is currently on an open sales or purchase order there are additional flag fields that would need to be set. It may be easier, depending on volume, to delete the item from the sales and purchase orders, and then add it back after you flip the tracking flag.

Richard gives you a good thing to check. You should be able to change it if all current docs are in history. Be sure you po docs and sop docs have been moved to history.

    Kind regards,

    Leslie

I've found that as long as there are no quantities on backorder, on hand, or on order, the tracking option opens back up to change. So even if there is history, i've been able to change this on many other item numbers. for some reason, i have one item number that continues to stay grayed out for the tracking option. I've done a SOP and POP reconcile as well as an inventory reconcile and the item still will not allow me to change it. I don't want to remove historical data, so it sounds as though the best option is to update via SQL. Thanks for all the comments/suggestions!

    best regards,

After further experimentation, I noticed that the items that I was unable to change the Lot tracking on also had a Bill of Material defined (BUT NO ASSEMBLIES PENDING!). When I DELETED the BOM for that item, I was then able to change the lot tracking option!     Progress, but still a pain to have to delete BOM's then re-enter after making the change...

Thank you so much! We use Manufacturing, so I didn't even think to look for a BOM in Inventory but that was exactly the reason the Track option was continuing to be grayed out. Someone had created the BOM in Inventory in error awhile ago. As soon as I deleted the BOM in Inventory, I was able to change it to Track by Serial Number. Again, thank you so much for posting your discovery. I really appreciate it.
