Using Server Side Sync CRM 2016

Hello,

We are currently using CRM 2016 online and have a hybrid Microsoft Exchange environment. We have been testing server side sync and it is working for emails and such that originate in CRM (syncing with Outlook), but we can't seem to get emails that originate in Outlook to sync into CRM.

If you are using server side sync do you need to use any kind of plugin in Outlook to sync emails, appointments, etc. that originate in Outlook? In other words, if I create an email in Outlook how does it wind up syncing in CRM? We really need to be able to sync from Outlook to CRM and without using the CRM for Outlook plugin, as this was our original method and our remote users had constant problems with it, resulting in it having to be removed from their Outlook.

Is this possible or do you need something else on the Outlook side in order from syncing to happen?

    Where you using CRM for Outlook or the Crm Outlook App.

    The app is lightweight and allows users to track emails etc.

    www.microsoft.com/.../crm-app-for-outlook-user-s-guide-lightweight-app.aspx

    Or you can sync a folder to CRM as you would do in OWA.

    If you are using server side sync, there are two options to get your mail into CRM:

    - Configure folder tracking (technet.microsoft.com/.../dn946907.aspx)

    - Use the lightweight outlook plugin (www.microsoft.com/.../crm-app-for-outlook-user-s-guide-lightweight-app.aspx)

    As far as I know, there's no mail synced if you don't have any of these configured.

    Thank you very much for the reply - as a follow up, is there a way to create a workflow or process in CRM to automatically set the regarding for emails that are sent to CRM from outlook via server side sync? Right now we can see emails being sent to CRM but we need to associate them to specific contacts.

    From what I can see it's only possible to track (link incoming/outgoing email to an account/contact) if the user manually intervenes within Outlook.

    Whilst folder level tracking and moving processing from the client to the server are clear benefits of SSS it seems strange to me that from a predominantly Outlook user point of view it doesn't' appear to offer any benefit over using the "Microsoft CRM for Outlook" option for tracking incoming/outgoing email.

    You can use a tracking token, but then I guess you are reliant on the recipient not removing that token when they return an email and frankly they don't look great. I assume you can't set folder level tracking on the whole inbox for a user?

    What I really want to be able to have is a whole bunch of accounts/contacts in CRM with email addresses assigned to them. Then any mail that comes into or is sent from a CRM configured Exchange mailbox (through Outlook, mobile, whatever) will be recorded as an email activity against the matching address in CRM without the user having to initiate any tracking. I really did think that is what SSS would give us?

    With folder level tracking you can set the regarding on the folder level. However there's a limit of 25 folders you can track en configure.

    Yes, that is what we're testing now - it works fine, but we'd need to associate the emails with specific contacts once they get into CRM. IS there a workflow or process than can be created on the CRM side to do this once the emails are in CRM?

    Is there any study on sync. without plugin. Automatic Sync between outlook and CRM for Emails, contacts Appointments and Calendar. Please suggest some study guide user guide on this process.

    Check your mailbox configuration in CRM. enable it and check log you will get detail in case of any error. your email will be synch automatically without any plugin if your mailbox configured correctly.
