Cost of security roles, duties and permissions

I'm tasked with setting up the security roles for our users in the new D365 system. I'm told that different license levels incur different costs but I'm unable to find anything even remotely useful as to *how much* that's going to be. I'm not looking for numbers down to the cents but is it going to be 10, 100, 1000 bucks a year per user for the various levels?

Also is there a way to see the license levels of duties?

    If you dive in the details, you might be able to do your own analysis. It requires knowledge of the licensing guide and technical details of the security meta data. Alex Meyer and me had discussions with Microsoft about this. Alex wrote a blog with details: alexdmeyer.com/.../

    So basically, only our partner can really tell?

    That's... frustrating... But at least it makes it clear that I can forget about doing anything but badgering them...

    Hi Damasch,

    Finding the correct license levels is not easy. For sure not when Microsoft did split the "AX" application into multiple SKU's like Finance and Supply Chain Management. There are some ISV solutions which can help giving more insights. We offer a Security and Compliance Studio add-on, but there might also be other vendors: appsource.microsoft.com/.../apps

    The application metadata does not always have the correct information based on your contract with Microsoft. If you purchased a subscription e.g. 6 months ago, the licensing guide available at that moment is leading for the correct interpretation. In the meantime, there are changes to the licensing guide which also resulted in changes in the application. So, the current meta data might not fully tell the correct truth.

    Unfortunately we've been begging for months for more concrete information from our implementing partner. We're probably going to have a meeting this week where it *hopefully* going to be adressed.

    My problem is that our processes don't always neatly correspond to the roles in D365 and figuring out what we need has been a bit of a pain. Through the use of the D365 Trace recorder I've been able to piece together the gist of the roles but particularly in one department I would need to give everyone a top tier role like "Service delivery manager"

    The alternative would be to go by Duties for that process and hope that comes to a lower overall license level but there doesn't seem to be a decent way to determine what the license level of a Duty is.

    Hi damasch,

    SCM and Finance are indeed two different SKU's, however you don't need to pay them twice. If a user needs both, you can buy one license and an attach license for the other SKU. I thought the attach SKU is $ 30.

    A custom role does not always ends up as "Operations". It depends on the contents. It might also have a Team member or Activity requirement. The activity license is used only for Finance and Operations. Field service is not having the activity as middle option.

    To give an exact answer, it would require to have more information from your side. Are you able to connect with a partner to get your specific questions answered? If not, please ask more detailed questions and provide more background information.

    I found the official licencing "guide" to be incomprehensible.

    AFAIK we're only going to be using Finance and Operations plus Field Service.

    My current understanding is that roles come with different license levels:

    * SCM and Finance are two most expensive levels in the apps "Operations" and "Finance" respectively which just happend to be bundled into "Dynamics 365 Finance and Operations" so if you need both roles you pay twice.

    * Operations equals "most expensive license in EVERY app you're using". So in our case for "Finance", for "Operations" and for "Field Service"

    * Team Member is the cheapest and counts across all apps

    * Activity is the middle ground and counts across all apps

    But any custom role seems to automatically escalate to "Operations".

    I would ask "is this correct?" but perhaps "how incorrect is this?" would be better... :-)

    Hi,

    Thank you for your query.

    Security Roles and Licenses are 2 different things.

    You need licenses to use Microsoft Dynamics 365 Modules and features vary based on the license.

    Security Roles define privileges (access) on records of a different type. For example, Dynamics 365 Sales license will give you access to the Sales Pro/Sales Hub application. But to control access for various users on different Accounts/Contacts, you need to assign/define security roles.
