Auto Creation of SharePoint Online folders for document management integration with Dynamics 365 CE Online

Posted on by Microsoft Employee

Hello Community,

We have the following client requirements, and would appreciate some feedback and guidance:

- We are migrating contact records from a legacy system into D365 Online

- We are migrating document files from a legacy source into SharePoint Online

- We are enabling SharePoint Online integration with D365 for document management

- After the document files migration to SharePoint, we need to associate the document file to the right folder location in SharePoint, so that the file can be accessed through the Contact record in D365 via the SharePoint integration

My question is: How can we auto bulk create the folders in SharePoint, when we migrate the contact records into D365, such that the system understands to which Contact record in D365 the folder should be linked to? As the next step, we will then need to link up the document file to the right folder locations, so that the document would be accessible via the contact record in D365

Any insights would be appreciated.

Thank you!

    Hi,

By default SharePoint folders are created when you navigate to the document grid but as here you need to create them automatically, you can setup a flow to create SharePoint folder after setting SharePoint configuration in Dynamics 365.

Check this, you should get idea

    There is an orgdborgsetting: CreateSPFoldersUsingNameandGuid

    Boolean

True: creates SharePoint folders using the format of {Name}+{GUID}.- false: Creates SharePoint folders using just the name

Set this to false so that it only creates folders using name.

You  wouldn't have to create the document locations in CRM. Just disable the above setting that adds the guid to the name and have the set of folders on the SharePoint side match the names of the contacts in CRM. When you go to the document location for one of those CRM records -- it will then make the document location in CRM and should match up.

When CRM goes to create the SharePoint document location -- it is going to to a relative URL in the 'contacts' folder and it will use the name of the CRM record
