How to restrict acces to Sales & RM Return entries?

Posted on by 21

Hi all!!

I would like to know if it possible to restrict access to the Return Entries options in both the Sales Transaction Entry and Invoice Entry windows?

This user should have acces to create Orders, Fulfillments, Invoices but not to enter a Return.

PS: I'm using Dynamics GP2015.

Thanks!

    Hi,

I do not believe you can create a security item to restrict document access in the Invoice entry window. Field-Level Security cannot do this either. The only solution I see (absent Dexterity work) is to use VBA to check the item selected from the drop-down list and the user ID to not allow that selection where appropriate.

    Kind regards,

    Leslie

Yes.. that would remain to be tested.. as Invoice Entry only shows 2 document type (Invoice or Return).

The task for that window would be TRX_SALES_011*, and when looking up the Document Access, they are all listed in there... so maybe if you check Invoice only, it may hide the other document (Return).. give it a try.

    Axel / Beat -

Not sure if I am off base on this one or not, but I think Document Access security in Sales is restricted to SOP Transaction Entry. I don't believe Invoice Entry Document Access tasks exist. Perhaps Advanced Security could be used here?

    Hi Axel,

Yes..  As Leslie mentioned,  under the task security,  you can limit the range of documents available to the users..  Just make sure you pick the correct task..  Or create a custom one for this particular user or group of people.

    Hi!

Thanks both for your responses! It ended that we need it for the Return under the Invoice Entry window and not for the Sales Transaction Entry.

I saw both solutions and they will greatly help for the Sales Transaction Entry but, is there a way to restrict the Return selection in the Invoice Entry window?

    Thanks!

In addition, you may want to make sure they do not have 'document access' to the Return document type.

Thanks Béat for your response! I will try that and post back the results.

    Hi Axel,

The quickest way to do this would be to remove the security Task TRX_FSS_RT01* from that user's security role.. this task is responsible for creating the sales return document and the underlying activites that go with that.

By default this taks is associated with the following GP roles :

    - PA MANAGER*
    - RT AGENT*
    - RT MANAGER*

Check if you use any custom roles that may contain the task above. Create a copy of the role if it's used by more than one user, and alter the copy that will be assigned to that user.
