Now does anyone know how to clean out the extra Reports?

Posted on by Microsoft Employee

With the Report and Subreport issue resolved, the system has a bunch of extra report and subreport .rdl files in the report server folder that I'm not sure how to remove. I already deleted them in the Customization screen, but the files are still there.

Also, there's one custom quote that persists in the menu for the Quote entity. I had deleted it from the Customization screen like the others, but it's still listed under Select Report.

Can anyone point me in the right direction? It seems like updating the db would be a good way to break things...

Thanks Mark, it really helped to be able to get those un-used reports off the selection menu. Steps 1 and 2 didn't change anything. One un-used report was in the Available Reports - but if you remove Reports from the 'Display In' then you must choose 'All Reports including Sub Reports' in order to edit.

I think I'll call your suggestion the Answer, and open a new question so see if anyone knows how to get the extra files off the Report Server.

You mention above in your original post that you are removing them from the "customization" screen. Am I correct in my understanding that you are removing them from the default solution? If so, once you deleted them, did you

    1. Publish the customizations? 2. Refresh your browser

If you have done the steps above then I would ask: Are the reports visible in the standard "Available Reports" view if you navigate to the reports section of CRM? Try deleting them there and let me know if that works or if you receive an error.

Lastly, you could try removing the "Related Record Types" in the Categorization section of each report to see if that removes it from the drop down list. If it doesn't, the issue is likely deeper than meets the eye.

Here's the list of reports that begin with the letter Q:

Note that no report is named Q__C__Q. The two new (not OOB) reports are QUOTEME and Quote_Stock_Save.

Now look at the menu of reports offered from a quote:

Report Q__C__Q actually runs if chosen. So, how do I remove it from the menu?

While trying to get new reports and sub-reports to work, I uploaded a number of unsuccessful attempts, and some of them actually have duplicate names. The report server offers all of them to the SSRS studio. To avoid much confusion, I think it would be good to remove the dead wood.

    Have a look:

reports_5F00_screenshot2.pngI will of course retain the OOB Quote and Sub-Report, as well as QUOTEME and her subreport which I hope to continue to refine.

I hope that helps everyone understand the problem.

Regards to you for looking in.

Darren, you make it sound like there's something wrong with my system. That may be.

No, I am not trying to delete any out-of-box reports.

I'll ask the question this way: Why on earth are reports still on my menus, and report files visible on my reporting services AFTER I have removed them through the UI in CRM?

Not only that, but the blamed reports actually RUN if selected!

Stay tuned, I will prepare some screen shots...

Are those system reports that come out of box?  That may be why they files stay preserved in the DB.  You can delete reports through the UI in CRM.  What happens when you attempt that?  Go to Sales - Reports - select a report and 'Delete'.  In CRM Online - out of box system reports cannot be deleted.
