Storage usage issue

Hello everyone.

Trying to figure where did the free space go. In pursue to detect the most heavy table in the system I've installed Organization Insights solution from microsoft. It shows top 10 tables by size.

And since then I have a question: what are these table for and how to access them?

- Annotation Base

- Lead Base

- ActionCardBase

- PrincipalObjectAccess

- AuditBase

    • AnnotationBase stores Notes
    • LeadBase stores Leads
    • ActionCardBase stores data from relationship insights
    • PrincipalObjectAccess stores information about shared records (this is a record of all shared records
    • AuditBase stores Audit data

    For the audit and relationship insight data, you may well not need to keep historic data, so you could setup bulk deletion rules to clear out this data. For leads and annotations you'd need to check if you need this data. For PrincipalObjectAccess, there's not much you can do if you need to share records, though you may be able to do less sharing by reevaluating how you implement security (for example you may be able to use teams more for security). Note that a large number (in the 100 000s) of records in PrincipalObjectAccess can start to affect performance

    AnnotationBase table stores notes but it consumes a lot of space because attachments to records are stored in this table as well.

    LeadBase stores your Leads in CRM.

    PrincipalObjectAccess table stores directly and indirectly shared records and this is really bad if you have a lot of shares.

    AuditBase stores your audit logs.

    I believe you're online so any of mentioned tables are not available.

    You're right - it's online.

    "any of mentioned tables are not available" - dоes it mean that we are not able even to export these tables from crm to azure to analyze them?

    The problem is that Organization insights shows 13Gb in AuditBase but "Audit log management" shows only 6,5Gb approximately.

    What takes other 6,5Gb?

    How to free space in the storage?

    Hello,

    You don't need to export it to azure if you want to analyze it you can just ask Microsoft to provide you a backup of CRM DB.

    Regarding space consumed - that is a great question. I believe you will get your question answered once backup is available.

    Alternatively you can open a ticket with MS to get an explanation.

    In addition, you could delete audit logs to free space or use 3rd party toolkit like the SSIS Integration Toolkit which works both on premise and online to store the D365 Audit Log offline
