A timeout workflow is not working correctly

Hi all,

We want to set a trigger that when a opportunity is due to close, the owner gets an email 14 days before to remind them. I've set up a workflow with the timeout condition set to 14 days before the date in the estimated close field but it won't let me activate the workflow unless one of the "start from" options is selected. It works fine when i set to record is created but then it sends the email to the owner straight away. there will be times when nothing has been changed to start the workflow so not sure what option i should be selecting or if am doing something completely wrong.

Any advice would be great. I've followed the microsoft guide to setting up automated workflows and several youtube videos so coming to the experts now to see if they can assist.

Here is a screenshot of the set up if that helps (just without any of the "Start when" options selected.

    Hello,

Everything looks correct to me. What's the Est. Close Date value on the opportunity you do test with?

Initially I put 21st July which is 14 days from today but have now changed it to 22nd to see if it emails tomorrow.

I believe you found the answer - it's related no to the workflow but to the data itself.

    Hi,

It is recommended to achieve your request with an on-demand workflow, for the “Start when” must be set to trigger the non-on-demand workflow. However, the values of the opportunity may not have changed during the period.

After switching it into an on-demand one, you can use the Bulk Workflow Execution tool in XrmToolBox to run the workflow for all selected records.

To know how to use it, please refer to: (+) Run On-Demand Workflows on bulk records using XrmToolBox – bulk workflow execution - Microsoft Dynamics CRM Community

If this helped you, I'd appreciate it if you'd mark this as a Verified Answer, which may in turn help others as well.

    Best Regards,

    Nya

Hi, I've set this up using the bulk workflow execution tool in the toolbox and it works so thank you but just wanted to check, do i have run this manually each day or can we set this up so it automatically runs and then sends an email to the owner of the opportunity if it is 14 days before the estimated closed date? Thanks

    Hi,

Please refer to my answer in the following issue, which is similar to yours:

Automating the Opportunities Tab: Email Notification When Opportunity is 2 weeks from Est. Close Date

If you'd like to achieve it automatically, it is recommended that you use Flow instead of Workflow.

If this helped you, I'd appreciate it if you'd mark this as a Verified Answer, which may in turn help others as well.

    Best Regards,
