Serial Number and Item Tracking for Assembly Items

Hi All, 

I am having issues with adding a serial no. to a couple of our sales orders

I have my system set up so that all items can have serial nos. created against them, but that it's not mandatory. For all orders, I create a customized serial no. using the manufacturers' serial numbers for each purchase line. The issue comes when trying to bring over these serial nos. for assembly items (Purchase Order (enter serial no.) > Assembly Order > Sales Order); keep in mind that I create the assembly orders from the sales orders. Is there a way to assign serial nos. from the purchase order for a component to the parent item, so I can add it to the sales order? 

Note: I am able to bring over the serial number from the component item purchase orders to the component item lines on the assembly order. This is fine, however, it is not what we are needing. We typically use the serial number from the main component for the parent item as well. As the smaller components do not typically have a serial number associated against it. 

Open to suggestions if there are better ways to handle this as well.

    Thank you very much for your help Steve! This solution worked. I had overlooked that I had the ability to re-enter the serial number at the assembly order header level; I had only tried looking at "select entries" at the header level previously. Much appreciated :)

    To reiterate what I had done for people who experience this issue in the future:


    Step 1: enter serial numbers on purchase order lines as per normal (component of assembly)

    Step 2: go to assembly order

    Step 3 (optional): go to item tracking lines for the lines you would like to enter serial numbers for and choose select entries then select the serial numbers you would like to bring over, as per usual.

    Step 4: on the assembly order, go to navigate item tracking lines. This will pull up the item tracking lines list (see below). Then select process create customized SN and re-enter the serial nos. that you had entered on the purchase order line previously that you would also like to use for the parent item.

    Step 5: go to the sales order and pull over the serial numbers accordingly. Select the sales line you would like the serial numbers to apply to > related information item tracking lines process select entries. This should bring up a list of the serial numbers you entered in the previous steps. Then apply!

    Kasandra,

    Since you want to use the same Serial No. you received off the Purchase Order to appear on the assembled Item, you need to record the Serial No. at the Header level. You could still record at the component level in the Assembly Order to denote the usage of the Serial No., but BC will not auto-apply the component Serial No. to finished Assembled Header Item No.

    Based on your 2 questions, if you do not need to know the Serial No. at the Assembly component usage level, skip that step and only record this at the Assembly Header level which is what you sell.

    Thank you for your reply. Yes, you would be correct. I am allowing for "Freeform" serial nos. to be entered, because they are not necessarily required and do not apply to some of the items we sell. However, when we do receive them, we want to ensure we can track them. The settings are as follows:

    To answer your questions, I think it best if I walk you through exactly what I did.

    Firstly, I entered the serial number on the Purchase Order from Vendor #1 - directly against the line item by going to line > item tracking lines > process > create customized SN

    Where I ran into issues was at the Assembly Order level. Here, I understand, we can enter the serial no. at either the header level OR the sales line level. The serial no. I entered in the Purchase Order pulled over on the assembly order sales line for one of the components but not the header level for the entire parent assembly. 

    I proceeded to pull the serial no. from the Purchase Order onto the sales line to see what would happen and it would not pull over to the sales order - the assemblies BOMs were not blown out. I am assuming this occurred because I associated it with the specific component on the sales line as opposed to the header on the assembly. 

    This leaves me to wonder how to handle this in the future - what is the correct process of pulling serial nos. from Purchase Order all the way to Sales Order for assembly items:
    1. Should I be skipping including the serial no. on the purchase order and only enter this on the assembly order, which will then be pulled to the Sales Order? OR 

    2. Should I not be using a component serial no. for the parent assembly?

    Kasandra,

    If I follow you correctly, you want to add a Serial No. to the Parent Item (Assembled) you are selling on the Sales Order. This Serial No. you are not making mandatory but you can enter them FREEFORM. A few questions, the Assembled Parent Item itself, are you entering on the Assembly Order the Item Tracking Line/Serial No. when produced? or are you when Shipping the Sales Line you are adding the Item Tracking Line/Serial No. there?

    On the Assembly Order, on the Action bar, click Navigate/Item Tracking Lines :

    If I did not follow you correctly write back. Note that sold Serial Item, as you noted, is FREEFORM Serial number entered.
