Smartlists disappeared for certain users?

Posted on by Microsoft Employee

Some of our users create smartlists favorites for their specific user account. Just recently these have disappeared for some users.  Does anyone know how to go about getting these back?

In my case the issue was that we lost records from the ASIEXP86 table during an upgrade. The symptom was that the smartlist favorites were there, but no columns were displaying. We told the customer the new smartlists are all in white font, but they didn't buy that, so we had to actually fix it.

We grabbed the values from the old version ASIEXP86 table and inserted them into the new version and the smartlist columns re-appeared.

Mike, you may be on to something.  When checking the user's activity from the Activity table the last couple of days, there are several entries for "Access to the SmartList Builder window was denied" and "Access to the SmartList Designer window was denied".  So do you think this action has possibly removed all of the user's custom SmartList queries?

Do you have Smartlist Builder in your Dynamics installation.  Smartlist Builder is different (but similar ) to Smartlist.  CHeck you Dynamics.set or post it on the forum.

I have seen instances with GP2015 and 16 whereby Smartlists favorites originally created by users, are changed/overwritten by SMartlist Builder.  This happens when a user innocently or accidentally clicks on the Smartlist Modify button.  Instead of opening Smartlist Designer, Smartlist Builder is opened.  A user then backs out of Smartlist Builder but the problem is already created.

Has anyone been able to provide a solution for the issue reported here?  We are having the same issue, user's SmartList was available and working yesterday, today the shortcut is still visible, but when the user clicks to execute, they're taken to the folder where the SmartList should reside, but does not.  I've reviewed the user's SmartList list from the ASIEXP81 table, and the only SmartList displaying is the one they created today.  Their previous SmartLists, saved at the User ID level, appear in the test environment and are working, but have completely disappeared from our production environment.  I don't see them in the ASIEXP81 table to even be able to update so they're available at the System level and can be saved down again.  What would delete them from the ASIEXP81 table but not remove the user's shortcut from their home page/Reports/etc.?  Would a security change to the user's account do this?

Forgive me, I'm not too skilled with SQL here so I am trying my best :P I see the ASIEXP81 table is pretty big, where would I find the differences? I have one user who's smartlists works and the one who doesn't side by side and I can't seem to notice any differences. The user does have access to the object. And he is able to say the smartlist in explorer, but once he opens it up his columns customization are defaulted.

    Hi,

If you look at the ASIEXP81  table, is there any difference between the ones that have it working and the user who doesn't? Does this user have Security access to that specific SmartList Object (the whole object, not just the Favorite)? If that user  launches the SmartList Explorer, can he/she see the Favorite we're trying to get on his/her My Reports section?

    Kind regards,

    Leslie

So kinda of strange...I tried this with two of the people that were having issues and readding the shortcuts fixed the issue. One user's is still not working though...

    Hi,

When you created it, did you add your columns and then immediately after that, Save it as a new Favorite? Then you would add that new favorite to the My Reports section. If your user goes straight to the SmartList Explorer, is he able to see his favorite?

    Kind regards,

    Leslie

Nope unfortunately. I just tried creating a new SmartList. I opened it and added in columns. Next time I open it up the columns are gone.

EDIT: I take that back, it saves the columns of my smartlist. My issue is these users already had smartlists saved. Is there a way to get those back or do I have to have them redo them and save them after?

    Hi,

That helps a lot. I think the problem here is you need to remove the existing shortcut in My Reports and add a new one that points to the new favorite.

Does that fix it for the user?

    Kind regards,

    Leslie
