Multiple Accounts for the Same Contact

Hi all,

I have a number of contacts who will work for multiple companies, i.e. a CCTV Manager might cover multiple Counties so would be a contact for both County A and County B.

I've so far not been able to find a way to do this without creating 2 contacts. Is there a method for applying two accounts to the same contact?

    No need to delete the contacts. Rather merge the two contacts and then create connections.

    Steps;

    Go to Contacts view and highlight both contacts. From the taskbar, select "Merge". Select the primary record and/or select the data that you want to retain.

    Once merged, the redundant contact will be de-activated.

    Then, open the active contact. Navigate to connections. Click [Connect]. A new window will open.

    In the "Connect To", select the account that you want to connect this contact to. Keep in mind that you can connect the contact to multiple entities (e.g.: Opportunity, Case, etc.)  and therefore, you have to specifically select Account as the entity you want to connect to.

    Next, select one of the predefined values from the [As this role] field. These can be customized.

    Take note that under the "Details" section, you'll have access to the "Connect from" and the FROM "As this role".

    Essentially, every connection has two perspectives. The perspective of the record connected from and the perspective of the record connected to.  

    E.g.: If the role for the Contact is Employee (of the account), then the role from the Account could be Empoyer (of the Contact).

    Connections are great but they take a bit of "getting your head around it".

    Hi Andre, thanks for that - i figured connections would be the route to go but couldn't quite figure out how to apply the connection. As a novice at this, are you aware of any step by step guide for doing this?

    At the moment i have two contacts (the same person) under the two accounts they represent, will i need to delete both and create a new one?

    Hi there,

    You should look into Connections. Connections allows you to create N:N associations between entities with the added benefit of providing context for the connection.

    In your example, you could create a connection between the Contact and various Accounts. For each connection from the Contact to an Account, you could indicate the role that the Contact fulfils for that particular connection.

    E.g.:

    Connection 1

    Contact : John

    Connected to Account : ABC Company - County 1

    Role : CCTV Manager

    Connection 2

    Contact : John

    Connected to Account : ABC Company - County 2

    Role : CCTV Operator

    Etc..
