Stages of Sales pipeline Chart

Having loaded a number of stages of "opportunities" under CRM2011 Online, there is a "mismatch" between the stage set on the opportunity form and where the data is shown on the pipeline. I have set the "pipeline phase" field to the same name as the stage, but I think I am missing some basic set up rule in my workflow.

Can anybody help please ?

    This should allow you to maintain consistency and monitor the Sales Process flow for each record.

    Many thanks for your response. I pretty much have set it up as you suggest, but I am struggling with "Process Code" - It comes up with "default" value. Where do I populate a "pull down" list for this ?

    Hi Roger,

    Sounds like you have everything taken care of.  Just missing that one part like you mentioned.  The Process Code field is an Option Set within Microsoft Dynamics CRM.  You will need to modify the Process Code option set for it to have different values.  To do that, you can go through the following:

    1. Open up Microsoft Dynamics CRM

    2. Go to Settings > Customizations > Customize the System

    3. Expand Entities

    4. Expand Opportunity

    5. Click on Fields

    6. Locate and click on the field with a Display Name of Process Code

    7. Click Edit

    8. Under Options you can add and rename the values there.  

    9. Once you have all of the proper Options defined, click on Save and Close

    10. On the Solution: Default Solution window, click on Publish All Customizations

    Now you should be able to see the drop down values within the workflow.

    Things are certainly improved, but I suspect there is something wrong with my "Workflow"

    The correlation between "Stage" and "pipeline" phase seems to vary considerably.

    See Screenshot  above - it shows "Information Sent" as a stage, but "Requote B" as a pipeline phase

    Each time you progress through, the link between these fields varies.

    I think it must be operator error from my side

    Hey Roger,

    You don't need to update both fields.  You can update one or the other and use which ever one you are updating to monitor the progression of your Sales Process by placing the field you are updating in the Footer of the form.

    If you want to update both, your workflow should have one update on the Opportunity and updating both fields.  This update should happen at the beginning of your Sales Stage within your workflow as shown in my above screenshot.

    Could you provide a couple of screenshots of your workflow that shows the updates being made and where they are in relation to your Sales Process?

    2 screenshots from the workflow below. This is probably where the fault lies as I am "self taught" off  "You Tube" so there are I suspect problems in the process.

    No problem at all.  We all have to learn some time and I am honored to get the opportunity to provide some education and guidance around your workflow.

    I see that you have some conditional formatting that checks the stage and then triggers a child workflow.  Can you provide screenshots of these children workflow?  It may be where you set the updates to the Opportunity within the children workflow that may be leading to the inconsistent stage settings.

    Hi Roger,

    I apologize for missing your last update.  I see that the updates may be a stage off.  It looks like for Stage 2 you are setting the Pipeline Phase and Process Code to Stage 1 values.  This could explain why you may be off between what the record states and the actual stage their in.  Also, I noticed that you have conditional statements that don't appear to be within the Stage section.  I've added a screenshot of an example of what my Sales Pipeline mock up looks like:

    The biggest problem about this article is that it is not updating the fields within the Opportunity but does a pretty good job explaining the actual process.
