GP vs AX as Finance System

Posted on by 45
Hello All, Some background… My company has been using GP in the Finance department for 8 years. We use basically an out of the box installation with no customisation at all. Our manufacturing side of the business uses a non-Dynamics system and this is partially integrated with GP via triggers and scheduled imports/exports. There are also several 'external' systems which GP is currently integrated with [expense management system, 3rd party budget/forecasting tool, company credit card feed, company mobile phone billing feed etc] The decision has been made to migrate the manufacturing operation to AX. Currently there are no plans to migrate the Finance system from GP to AX. I am investigating whether it would be a good idea to migrate the Finance system to AX at the same time as we move the manufacturing systems over. I am not a techie, but past experience with systems implementations tells me that wherever possible, 2 systems will work better with each other if they are the same :) I have a fairly good idea of the work involved in re-building the integrations with the non-Dynamics systems. Where my knowledge fails is… 1 - how large a job is it to migrate a Finance/Accounting system from GP to AX? E.g. are the systems different enough that you are basically installing a completely new system and importing some data; or are there tools which can simplify moving between Dynamics products? 2 - are there any Finance/Accounting features which are in an out of the box GP system which would not be easily available in AX? [initially the system would only be used in the UK, but long-term we would be looking to get our overseas operations onto the same platform] 3 - if we don't migrate the Finance systems and stick with GP, is it straightforward to integrate GP and AX? E.g. use triggers to pass PO's into GP from AX, ensure new suppliers are in GP before PO's are passed in etc Overall I am trying to get a feel for whether the path of least resistance is to move all our systems to a single platform (AX) or to leave GP and all the existing integrations in place and just build the integration between GP and AX? Many thanks to anyone with experience with both systems who can offer any advice. Bob.

    1.  If possible, stop and investigate GP Manufacturing.  Might save you considerable effort.  If your partner will not support this, call me.  I can provide balanced analysis.

    2.  If you go to AX for mfg, go to AX for finance.  Keep it Simple!!!!!

    Bob,

Currently we are performing a complete GP to AX Migration for a manufacturing client , who needs to migrate this financial & manufacturing data to AX system. Please drop an email to learn more.

Thanks for your advice Ron. You're right, it is too late to use the GP Manufacturing module [I don't even think that was investigated as an option]. I have only recently joined the company and the decision to move to AX has already been made and cannot be reversed.

I am in the process of reviewing and documenting all of the interfaces we have with data going in/out of GP (should have been done a long time ago) so I can investigate how easily they could be replicated with AX.

At the moment GP is not tightly integrated with our manufacturing system and all we do is pass POs into GP, with associated validation of account codes, currency codes and supplier codes. I suspect it would be easier to replicate this interface between GP and AX than to rebuild all of the interfaces with other systems if we move to AX. However, there will be a lot of other benefits to having Finance on the same system as manufacturing (business intelligence, central reporting, fully automated and supported updates etc) which will also need to be valued.

I don't know too much about AX, but it seems to be marketed much more as an ERP package where GP is marketed as a Finance package. I would be very interested if you are aware of any deficiencies or 'show stoppers' with the financial side of AX which would make it unsuitable for an organisation already using GP.

    Thanks, Bob.

I'm aware that this may be too late based on your post, but did you folks look at the Manufacturing module for Microsoft Dynamics GP?  It can do a lot, and whatever it can't do, GP is very friendly with adding new functionality that your business may need.  The only downside on the Manufacturing module is that there are not many VARs that know it well, but we have many clients on it, and have done many integrations with it.  Something to consider.

If it's not doable, I think for simplicity sake it would be a good idea for both Finance and Mfg to all be on the same system.  Why create integration if you don't have to.  However, if you decide to keep them separate, you'll have to decide at what level you want to integrate.  For example, will you be storing on-hand (finished goods) inventory in GP?  If so, you'll need to create a PO Receipt integration.  If you need to also store component items in GP, you'll need to setup and inventory (decrease) adjustment for GP.  However, I usually see where components are stored in the MFG system, since their levels are needed for planning.
