Allocated Inventory

I have not purposely allocated inventory but for some items I am now seeing allocated quantities. I am having a hard time finding how to clear these allocated quantities so we can update our Bin quantities with our quarterly counts. I can identify the Item Code and the Bin the allocation is effecting but I can't find how to clear the allocated amount. Please help

    If you mean processing assembly orders then yes, otherwise I'm not sure what you mean.

    there is an actual manufacturing module with BOMs and Make orders...and this can be set up to allocate when the make orders are released.

    In the manufacturing module you also have a component transaction entry window where you can reverse allocate.

    the reason I am asking about the manufacturing is there is a known bug with it and sometime the allocations do not get released when the make order is completed/closed or cancelled.

    We have a script that we run to clear these.

    We also run regular Inventory reconcile to fix ghost allocations....and fix problems with qtys available and allocations

    In the Inventory Inquiry window you can see where items are allocated to....

    Yes, Inventory Reconcile will clear this up usually.  

    We have it happen so often I run Inventory Reconcile every Thursday night.

    Further to this, if you have orphan sales records that can also cause problems - and running inventory reconcile will not fix it unless you clear the sales lines.

    Go to Inquiry --> Sales --> Sales Documents.  Are there any sales documents that are sitting in work that e.g. do not have a customer ID or document date - the records look wrong.

    You can also see if the allocation is "fictional" by looking at the inventory item.  In the quantities window, drill into the allocated quantity.  Does the line detail behind match the totals?  That is where inventory reconcile comes in.

    If that is the case, then you will need to do some removals from tables to correct. 

    I have this issue come up reasonably often with inventory based sites. 

    Note:  none of the sites I deal with use manufacturing.

    So if you can provide some more detail about the allocations - are they real or are they fictional, we can probably give some more detailed specific guidance on how to resolve.

    I was able to find the inventory is being allocated to an Assembly order; but the assembly order says posted if I try to locate it; however when I look at the Unposted Transaction History I can see the assembly order. I tried the Inventory Reconcile but the quantities are still showing as allocated. What do I need to do to push this assembly order to posted?

    I once had an orphaned allocation from a S.O. where the user entered an item number that was a kit with 36 kit items.  They then changed the original item number without deleting the line which left the 36 kit items orphaned in the Sales Order.   I opened a ticket with Microsoft and was directed to find and delete the orphaned allocations in the S.O. using a SQL script.

    Amber - most likely this is a case of an orphaned record - it posted to history but didn't quite make it out of work.  If you are familiar with SQL, then you will be able to deal with it.  If not, then it may be best to get your partner involved.

    It will be a case of looking table by table between work and history and ensuring that the record has been populated into the relevant tables in history and then does not exist in the relevant tables in work.  Each scenario like this is case by case.

    I have dealt with some where I simply needed to delete a single record in a single table through to having to manually create some table records in history before deleting from work.

    Use the table descriptions inside Dynamics GP as a guideline of which tables to look at.  Microsoft Dynamics GP menu --> Tools --> Resources  --> Table Descriptions.

    Always back up the database before doing anything.  And I always investigate all the tables to see what needs to happen overall before making any individual changes.
