Identifying how a record (contact) was created

Posted on by Microsoft Employee

Hi,

We have identified a large number of contact records which are either straight up duplicates, or completely incorrect duplicates. They must have been generated automatically/systematically as you can see they were created in batches at exactly the same times.

I presumed this must have been something to do with Outlook sync or something like that, however the users who allegedly created the records deny knowing anything about a lot of them and don't even have them as Outlook contacts.

Is there anyway of identifying how a record was created?

I can try to flag them based on suspicious creation dates, but this isn't ideal.

Thanks in advance,

Olly

    Hi Olly,

To track who / what created, you can check the createdBy field.  This doesn't really tell you what process created but tells you the name of who did.  You could look at enabling the following as well:  docs.microsoft.com/.../enable-use-comprehensive-auditing for extensive logging to see what is happening.

    Some other things to check

    1.  You should then check to see if you have duplicate detection rules enabled for the entity, if not, you should do this

    2.  Users could have setup with the personal option to "Automatically Create Records..." for tracked emails and if this is the case it will create contacts

    4.  Verify you do not have Automatic Record Creation rules setup

    Hope this helps.

    Hi Olly Gwilliam,

There are a few ways to work out how a record was created, but the best way is to check the records Audit History.

The Audit History gives useful information including:

    • Changed Date
    • Changed By
    • Event
    • Changed Field
    • Old Value
    • New Value
