Updating Owner on Accounts during Import

Current version: CRM online 2015 Update 1

This is exactly what I am trying to do but instead of updating contacts, I am updating accounts to different owners due to territory realignment.  I can't use the bulk edit feature or the assign feature because the account ownership changes are very complex.

I have already exported the accounts via static worksheet and updated the owner column to reflect the new account owner in the exported excel file. I am ready to import the data back into CRM but like Deepak, I am also VERY concerned with importing the data back in CRM and creating duplicates.  

Here is what I need clarification and assistance on:

When I exported the static worksheet it hid the columns A-D  Column headers A-D listed below.

(Do Not Modify) Account

(Do Not Modify) Row Checksum

(Do Not Modify) Modified On

Created On

I am ready to import the static worksheet back into CRM. I have chosen the import XML worksheet method, choose the Account Record type, automatic mapping and now have paused my efforts because of the fear of creating duplicates.

Three of the four columns did not map automatically and it is directing me to map the unmapped fields which are the columns A-C.

Column D- "Created On", mapped just fine. The other three listed below did not map automatically.

Column A- (Do Not Modify) Account

Column B- (Do Not Modify) Row Checksum

Column C- (Do Not Modify) Modified On

Looking at Column A- "(Do Not Modify) Account" field is that the "Account (Primary Key)" field?

I don't see anything that can map to Column B- "(Do Not Modify) Row Checksum" or Column C- "(Do Not Modify) Modified On" fields

I just want to update the account owner which mapped automatically. 

Please help! I need to get this done ASAP as well.  I attached some images to give you an idea.

    Hi,

    If you are exporting file from CRM and feeding data there, there is no need to setup mapping, CRM will be doing mapping automatically, so make sure you are not touching these id fields, and simply modifying what data you need to change and import back to CRM.

    Hello Tashia.

    How has you exported your contacts? In my view the main reason for your issue is that you didn't checked the data to be reimported in the dialogue.

    Please verify!

    With help of this simple option checked, you don't need to map your data.

    I exported Accounts and that was not an option when I exported the static worksheet. I am using CRM online 2015 update 1

    So do I ignore those fields to map?  The export came straight from CRM using the export data feature of a specific view. I choose static worksheet.

    This is strange to me because you should not even get this screen, mapping is done by CRM can you try to export new file and try that.

    The mapping was done by CRM but a couple fields did not map.   Here are the steps I did. See screenshots above.

    In the Advance Find, I exported the accounts using the Static Worksheet option.

    I saved the worksheet, sent it to my boss with instructions to only update the Owner column.  

    He updated the Owner column, and returned the updated worksheet to me.

    I saved the updated worksheet as an XML worksheet 2003 and went to import the file using Import Data.

    Once I selected Import Data it directed me to Upload Data File in a supported file type then click Next or cancel

    Then it says Review File Upload Summary and click back or next or cancel

    Then it says Select Data Map and click back or next or cancel....***I choose Default (Automatic Mapping) under System Data Maps

    Then it says Map Record Types then click back or next or cancel.****I choose Account.

    Then I get the same Map Fields screen that I sent before.

    I found the answer from another question in the community.  

    The key was to import the file in the same format that it was exported.  When it is exported it is done in a xlsx format.  I was trying to import it in a XML worksheet. After I saved it as an xlsx file and imported it, it did not give me the option to map any fields and it was easy as pie!

    You have an option as "Ignore" in the field to be mapped. Try Ignoring the particular field mapping and proceed with the import. But for safety sake, I recommend you export a fresh excel and make sure to select "For re-import" while exporting it and do not touch the values in the fields starting with "do not modify".

    Hi Tashia,

    No, you cannot ignore mapping. If you don't want to perform mapping then here is a solution on how to do that.

    Goto Setting->Data Management->Templates for Data Import->Select the Entity->Download

    And a blank template for that entity will be downloaded.

    Now from the static excel sheet copy paste the data into the template based on a related row.

    Once the data is copy pasted save the excel template file with data and now upload that excel template file from import data option, select the entity and it won't ask you to map the data.

    The reason why it won't ask you to map is the data is that you have downloaded the template file and have done the mapping manually. Generally, I don't recommend doing that if you are importing fresh data. It's always better to import the data without using the template.
