Printing W-2s using Form Type = 1 Wide-Forms with Box - Questions

We are trying to decide on whether or not to use the new "print with box" functionality this year. I have a few questions I hope someone can help answer:

1. I've test printed 2016 W-2s for formatting and even after modifying the size of the output down to 85%, the lines on the right side of the form won't print. Is there any way to fix this?

2. We still mail all our W-2s. What type/size envelope do I need to use? In the past we have used Deluxe Corp for our tax forms and envelopes but I am open to anything that will work.

Looking forward to your input!

Thanks,

We used a standard double windowed #9 envelope we use for our checks.   Takes a bit of paper folding origami but once you see the point where you need to fold it works.   Printed the instructions from the three copies normally sent to employee front and back and then printed from GP the one box form available on the portion of the top of the form so created.   Old fashion cut and paste.

Reality is all those copies are from the age when people filled their tax returns on paper forms.   A single copy is all people need as would suspect 99.5% of people are filling online or hire someone to do their taxes.

Would be nice if the GP print with boxes be fixed to conform with IRS paper requirements, including printing the instructions on the back of each of the required forms.

We are using report writer to assist our clients with the Copy 1 at the bottom and I too wonder why Copy 1 was chosen and not the Federal Copy or Employee Copy.

Our clients are having a difficult time finding an envelope that fits, has anyone found specific type and size of envelope that fits the printed W-2's on blank paper?

    Ernie,

You could modify the report in Report Writer in order to change the hard-coded text at the bottom of the form. It sounds like a pain, but you just need to create a package file for each copy and import it when it's time to print that particular copy. I know you can use Modifier with VBA against the report such that you can indicate the words that print at the bottom based on the value of a field.  Another thing you might try is to modify the layout so that you can fit two on a form.

I actually use a piece of software named Yearli to import the data from GP and print the forms on blank paper for the recipient. The software also creates and files the magnetic media file.

The form is in no way perfect, but it's a step in the right direction.

Why are you not replying to the question asked? The question is what is this ridiculous W-2 with Boxes printed one per page for? We have companies which need to print employee W-2s copy B,C,D Copy 1 & 2 for more than 500 employees! The 2017 Box Local W-2 cannot be used for any much of anything.

The forms match up to the 2017 forms. The envelope is an issue, but I didn't have any trouble with the checkboxes and such. It needed a little tweaking to print the 'red' form, but the others were fine.

    Kind regards,

I was wondering how to print Copy B & Copy C of the W2 and not just Copy 1.   Seems they are all the same but want to ward off employee questions.
