Combined Last Modified Date: Notes, Activities, Fields

Hi All,

I'm struggling to find a simple solution to pulling together the last modified date of notes, activities (tasks) and field edits for our CRM records. My goal is to make view of records not modified on x days across all those elements. Since notes and activities don't update system level "modfied on", what is the best way of going about this?

    Hi Aaron,

     you might try creating two datetime rollup fields (max of modififed on for related notes and, also, for related tasks). And, then, you might create a calculated field (Max of those two and, also, modified on for the entity itself). That would give you the date.

     Of you might try creating a workflow to update some dummy field on the main entity whenever a note/activity is updated. That way, modifiedon on the main entity should be in sync with such updates

    Thanks for your reply. I have been able to create individual date fields for "activities created on" and "notes created on" alongside "modified on" fields but cannot see an option within calculated field creation to update a new field with max of other date fields?

    Hi Aaron,

      it would be a set of if-else conditions - something along these lines:

      If Field1 > Field 2 AND Field1 > Field 3

         Then Set calculated field = Field 1

      else  If Field2  > Field 1 AND Field 2 > Field 3

         Then Set calculated field = Field 2

      else Set calculated field = Field 3
