Modify Chart of accounts

Posted on by Microsoft Employee

Question on Chart of account modification:

Can I "combine" accounts without installing/using PSTL?  I have approx. 70 accounts that are in location 400 dept 10 - that I want to "move" to be location 400 department 30.

We are changing up our "reporting" and where we used to focus on location we are going to focus now on department (profit center).  So our operating expense accounts that are in loc 400 dept 10 are now going to be recorded in location 400 dept 30.  When I do reporting I will not be able to report comparisons ... without #1 "combining" these accounts so history is in 400-30 or #2 modifying the reports in management reporter for the first year of reporting to also include 400-10 in the prior year figures.

Suggestions?!!?

    Hi MDI!

As everyone else has mentioned multiple times PSTL would be the supported method I would recommend for what you are looking to accomplish. As Harry has also mentioned besides just modifying accounts as you are looking to do, it has multiple different uses that could be used in different scenarios.

Please let us know if you have any additional questions!

Not to join the "glee chorus" of folks recommending PSTL as the right tool for the job, but it sounds like you're alternatives are:

    a. Install PSTL, and modify the account, or...

    b. Make changes to management reporter, perhaps multiple times.

My $.02 is PSTL is now FREE and has features beyond the one you need for this particular problem, and may be useful in similar situations down the road.   I don't think I have a client that doesn't have PSTL installed.

Need to merge two Vendors, set up in error, PSTL... Need to combine items, PSTL... Need I say more...

    Hi,

I'm with Frank also. PSTL is what you want to use. You only need to install it on the machine you are using to accomplish the combination, you don't need to install it on all of the machines. Is there some reason why installing the PSTL tool is not desired?

    Kind regards,

    Leslie

    RE: Modify Chart of accounts

I'm not quite clear on your dilemma.... if you don't historical amounts combined, you might want to try the mass modify chart of accounts "move" option. Definitely do it in a test environment first though. I can't confirm that it is going to do exactly what you want it to do or behave how you expect it to. Microsoft's documentation says "only accounts with no current-year activity and no history amounts can be moved", which sounds to me like what you're looking for, but again you should test it.

#2 above might not be as bad as you think though. Have you tried copying your row definition and column definition into Excel? You could probably use Excel formulas to make things a little easier.

Frank is right though.. PSTL is the cleanest way to do it.

PSTL is the tool for the job.  There's no other way through the front-end to accomplish this, unless you own CRG's Changer tool.
