Backing up custom forms and reports

Posted on by

Hi,

We are upgrading from GP 9.0 to GP 2010.

We are first trying to setup it up on a development(test) server and see if there are any issues with it.

In the upgrading steps, i can see backup custom forms and reports.

My question is that is there any different steps to backup that forms and reports or if i backup the database dynamics and other related databases, then it should be enough??

Regards,

Sushant

    @leslie

Thxs for ur concern. I am trying out the steps which are required for the upgrade.. on a test server.

When we will actually do on production server, then we will surely have a experienced partner to help us out

    Hi Sushant,

By reading your questions I grow concerned that you may be attempting this upgrade without the aid of an experienced partner. While this forum is an excellent source of information, it is insufficient to support an upgrade. I wish you well.

    Kind regards,

    Leslie

Have you tried logging-in GP with sa user to export package?
You can take back up of Forms & Reports Dictionaries files. This article has steps to upgrade the Forms & Reports Dictionaries files (Approach 2)
    http://www.vaidy-dyngp.com/2008/12/upgrading-custom-forms-reports.html

However, the dictionary files do not contain the vba code. If you have vba customizations, you will need to export the package file from customization maintenance window.
To check whether there are any vba customizations, search for *.vba files in GP folder ( C:\Program Files\Microsoft Dynamics GP\). If files with vba extension are present that means you have vba customization. Generally, we backup the whole GP folder. This way you can refer to it, if you need to lookup for something.

when i try to go to tools-->customize-->customization maintenenance is grayed out...

    I can find out reports.dic and forms.dic(c:\programfiles\msdynamics..)

if i copy  those to a diff location, is it sufficient or what shall i do?

You can find the import/export utility by clicking the Microsoft Dynamics GP Button>Tools>Customize>Customization Maintenance.

From there, you will see a list of the customized forms and reports and you can export them into what are called package files.  You can use this same process to import them back in as well.

I also agree with Rubal's comment about backing up the dictionary files themselves.  You might consider doing this as a failsafe just in case the packages don't import/export properly.  The way to do this is to find the REPORTS.dic, FORMS.dic, and any other 3rd party customized forms and reports, and then copy them to a separate location and you could even rename them to .bak files.

The customzied dictionary files can most likely be located in C:\Program Files\Microsoft Dynamics GP\Data (unless Dynamics has been installed in a location other than the default)

Exporting the report package is one way of backing up the modified forms and reports. In most of the cases it works. Modified or New Formats(for fields) used in reports are not exported with package files . If reports and forms contain new Formats that information will be lost during export and import process. Therefore, it is recommended that you take back up of forms.dic and reports.dic files as well.

Re: Backing up custom forms and reports

    Sushant,

"Backing up" forms and reports is not included with the database backup.  If you have any modified (or custom) reports, you would have to create a backup of them separate from your database backup.

From GP, export the modified forms and reports to a safe location.  I would recommend exporting them by product (ie Dynamics GP, third party, etc.), it just makes the process cleaner in my opinion.

I have had great success with upgrading and installing service packs when I completely remove the modified forms and reports dictionary from GP.  Once the upgrade is complete, I import the modified forms and reports back into GP and then run GP Utilities to upgrade them.

    Hope this helps,

    aaron
