Marking Inventory Items as Discontinued

I have 8,000 inventory items with zero quantities that I want to remove from Dynamics GP.  It looks likes setting the Item Type to Discontinued and then checking "Remove Discontinued Items" during the Inventory Year-End Close is the best way.  However, marking all of these Items as Discontinued is a mammoth job.

I am wondering if writing a SQL routine to change the record type to Discontinued in the Item Master Table (IV00101) will work?  I am not sure if this will work because change Item Type on the Item Maintenance window may be changing fields in multiple tables.

Does anyone know if changing the Item Type in the Item Maintenance window changes any tables other than the Item Master Table?

    Hi,

The best way to find out is to test this out in separate TEST company that you could replicate from your LIVE company.. Before doing the change, run the SQL trace in the background on filtering the data on that TEST company only.. Once the changes are saved, you can stop the trace and analyze all the tables that were affected by the operation.

That's usually the way I tackle such 'mammoth' jobs..  Sorry, that's the best answer I can offer, since I've never discontinued such a large amount of items.. The items are usually marked as discontinued throughout the year while they are replaced by newer ones..

You're correct that they get removed at year-end closing process.

PS: another more convenient and easier way to identify the tables is with the GP Power Tools, by enabling a DEXsql trace straight in GP before doing the changes in the item card and stop it when the item is saved. It's much easier and doesn't require to access SQL Studio Management trace tools.

    Hi,

If there are orders relating to any of the items you would like to discontinue, these would not be removed via the year-end process.

As Beat suggested using the dexsql trace is a good way to view the tables affected.

I thank both Beat and Rosemary for your advice.  I will set up a test company and run a SQL Trace.

    Thanks again.

As a workaround if you find difficulty in doing the SQL tracing I would recommend you to create a  macro and using the mail merging you can update it through the front end itself.
